The British Embassy Paris is part of the UK's network in France and Monaco supporting the Government's main aims overseas: keeping Britain safe, making Britain prosperous and helping British nationals. We advise the UK government on French policy, and support close cooperation in areas such as defence, foreign policy, the EU, science and innovation, energy, sustainable development, climate change, illegal immigration and counter-terrorism. We issue visas for the UK to foreign nationals and help British nationals by providing consular services to those who have been involved in crime or other serious incidents.

We are currently looking for an Events and Outreach Officer who will promote new partnerships in support of our diplomatic objectives. Reporting jointly to the Head of Outreach and to the Manager of the Residence, your role will be to assist teams across the Embassy in the conception, planning, delivery and financial aspects of events (such as cultural or corporate receptions). You will work with colleagues in the Department for International Trade section to identify suitable sources of funding for events, as well as opportunities for innovative partnerships which will help build the British Embassy’s knowledge of, and visibility in, France.  

A key aspect of the role will be to track and coordinate events across the France Network, working closely with the marketing and communications teams. The Events and Outreach Officer will design some invitations and visuals for the events organised by the Outreach team so graphic design skills are key. 

The outreach team is situated within a public and bilateral affairs section. The successful candidate would be line managed by the Head of Outreach but work jointly to the Residence Manager, dividing their week between the two offices.   They would be flexible in providing ad-hoc support to colleagues in the wider team.

In addition to working on some of our most high profile events and gaining valuable working knowledge of various teams within the Embassy, the position opens the successful candidate up to training and development opportunities and an organisation which prides itself on its staff wellbeing programmes and flexible working practices. 

Main Duties and Responsibilities:

  • Assist project leads across the Embassy and France Network across all stages of the event planning cycle, working with internal and external partners/suppliers to deliver successful, timely and budgeted events.  
  • Maintain oversight of/track all events to improve coordination of resources and strategic messaging.   Act as a quality check for events proposals from colleagues and implement monitoring and feedback processes to continually improve and increase impact. 
  • Assist the Residence Manager with the contracts, insurance statements and invoicing for sponsored events, liaising with the wider corporate services team and the customers as required. Providing assistance and resilience, covering for colleagues as required, including the possibility of occasional presence at events. 
  • Record accurate expenditure for all Residence events in line with audit requirements. Preparing monthly accounts adjustments and statistics as necessary.
  • Identify potential partnerships to extend the France Network’s knowledge of, and impact and visibility in, France.
  • Experience in events organisation
  • Excellent organisational skills, accuracy and attention to detail
  • Ability to forward plan and coordinate activity among a wide range of stakeholders
  • Ability to be creative, look for innovative solutions or partnerships, and constructively challenge traditional approaches
  • Excellent communication skills in both French and English (Level C1)
  • Flexibility in working patterns and methods, including under pressure
  • IT skills (Microsoft Word, Excel, Outlook, SharePoint, Access)
  • Accounting and financial knowledge
  • Strong interpersonal skills and ability to build strong working relations quickly to ensure the success of projects.

  • Recognised qualification in events management/project management
  • Graphic design knowledge (Illustrator, InDesign, Photoshop)

This is a full-time position for a 12 months fixed term contract.
