View Vacancy - Chevening Programme & Outreach Internship, British Embassy in Colombia
Main purpose of the job
To support the Outreach, Chevening and GREAT Campaign Officer in delivering the Embassy’s outreach strategy, which seeks to coordinate relationships and activity in Bogota and beyond. This includes managing the Embassy’s central database of contacts, the list of programmes and other administrative and logistics tasks, arranging meetings, and working closely with the Political Counsellor and Press team.
The role also supports the Outreach, Chevening and GREAT Campaign Officer in implementing the administrative and financial tasks, mainly information management, and, on a minor scale, the marketing strategy for Chevening scholarships, the UK’s flagship programme for foreign post-graduates studying in the UK.
What will the jobholder be expected to achieve?
- Organise a quarterly Customer Relationship Management committee, and provide up-to-date versions of the Embassy’s central database of stakeholders and other documents.
- Organise regular updates of the Embassy’s stakeholder database with teams, including in response to the Queen’s Birthday Party invitations (working closely with the Press team).
- Improve the functionality of the stakeholder database (data base management).
- Coordinate an up-to-date list of Embassy programmes, visits, and other activities outside of Bogota (working closely with the Press Team in their role supporting the Embassy’s Programme Board).
- Support administrative tasks of ongoing Chevening selection activity as required (promotion, filing, reporting).
- Supporting logistical requirements of ongoing Chevening initiatives.
- Keep record (both physical and digital) of the Team’s expenditures and Purchase Orders.
- Support a more active and widespread Chevening network by updating databases, organising meetings, booking venues and liaising with the Chevening and UK Alumni network.
- Work with the Chevening Alumni association to administer thematic groups and their events.
- Arrange the logistics and provision of services for Chevening and some Political Section events. (For instance, accommodation, transport, catering, audio-visual equipment, and special need requirements).
- Keep records of suppliers, services and support financial management of Outreach and Chevening Programmes.
- Responsible, good communication, well organised, and committed to the job.
- Works well under pressure and against deadlines, able to deal effectively with stressful and difficult situations.
- Good time management skills.
Essential on arrival:
- Strong administrative skills and able to work at pace.
- Excellent knowledge of MS Office (Excel, Access or related programmes).
- Excellent organisational skills: attention to detail, resilience, and a strong team player.
- Works well under pressure and against deadlines, able to deal effectively with stressful and difficult situations.
- Excellent communications skills, responsible, committed and enthusiastic.
- Currently enrolled in the last semesters of a university degree, preferably, but not limited to: Marketing, Business Administration, Commerce, International Relations / Government degrees.
- Available to work full-time and must be flexible to work the occasional evening / weekend, when assistance is required at events.
- Sociable, able to interact and collaborate with different teams.
- Fluent in English and Spanish, both written and spoken.
Desirable:
- Database management programmes.
- Event management experience.
- Knowledge of social media.
- knowledge of Public Relations / Protocol / Diplomacy.
- Interest in the UK / current affairs.
Working hours: Mondays to Thursdays 08:30 to 17:00, Fridays 08:30 to 13:30. Candidate must be willing to work flexible hours to assist at functions held in the evenings and weekends.
