Corporate Services Support

The British Embassy in Sweden is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking to recruit a full-time Corporate Services Support. Main responsibilities will include: to provide practical administrative support including official transport work for the British Embassy in Stockholm.

Main Responsibilities:

General Administrative Support – includes but not limited to

  • Annual Ergonomic assessments;
  • Daily Post – and Air Freight Diplomatic Post/ Bags;
  • Maintenance of minor machinery e.g franking machine/ Coffee machine/ Printers/ shredders;
  • Finance Admin – scanning and uploading invoices to Sharepoint and provide effective back-up for the Finance Assistant related to preparatory work prior to scanning;
  • IT support in respect of completion of application forms, checking inventory items with guidance from IT Support Officer;
  • Property Compliance Assessments (PCA) - Self Assessment support for Estates Team.

 

Official Driving

  • Transport arrangements for ; Embassy Senior Staff, VIP visits, new and departing UK staff, airport runs, delivery & collection of items as required to support the One HMG Platform, including all associated logistics, ensuring effective coordination with current Driver and customers;
  • Joint management of the transport fleet to ensure vehicles readiness.

 

Security & logistics Support- Crises planning/ Testing/ upkeep

  • Customer service oriented;
  • IT literate ie proficient in using Microsoft Office Suite;
  • “Can do” attitude;
  • Organised person;
  • Team player;
  • Positive Outlook;
  • Ability to work a flexible schedule;
  • Ability to work under pressure;
  • Good communication skills.
  • Independent written and Proficient English spoken;
  • Driver license holder valid in Sweden;
  • Knowledge of Stockholm road network;
  • Minimum 3 years of proven track record as a driver;
  • Minimum 3 years of working office experience.
  • Experience in driving VIP or high profile personnel preferred;
  • Certified Advanced Driving Skills.
