Residence Coordinator

The British Consulate-General in Istanbul is part of a world-wide network, representing British political, economic, consular and defence interests overseas and is now looking for a Residence Manager, to manage and maintain the Consul General’s Residence, also known as the Pera House.

The Residence is the main platform for the UK government’s representative and promotional activities, while it serves as home for the British Consul General and provides accommodation for official visitors. Following the UK government interests and policy objectives, the Pera House hosts a wide range of events for top level government politicians, business people, cultural leaders and others, in a wide range of formats from small dinners through to an annual reception with hundreds of guests.

The Residence Manager is responsible for the efficient and effective operation of the Pera House and surrounding gardens, and for managing and supervising a wide pool of highly skilled Residence support staff. This role is part of the Corporate Services team Istanbul and involves working closely with the Consul General and other individuals and teams at the British Consulate General to organise events at the highest possible standards and provide accommodation for official guests.

The Residence Manager needs to be willing to work flexibly in order to plan and deliver events in the evenings and occasionally at weekends. Work hours can sometimes be long and irregular. However, these are off-set by other times when the workload is lighter, which ensures that overall contracted hours are constant over a period.

This is a challenging and rewarding position that requires excellent inter-personal and organisational skills, ability to work in a team and strong customer focus with acute attention to detail.

 

Key roles and responsibilities:

 Event Management

  • Responsible for oversight, preparation and delivery of internal and external official events at the Consul General’s Residence (e.g. planning table/flower arrangements; room layout; hiring equipment such as marquee, audio-visual, lightning, heating; hiring of casual staff; post-event clear up and cleaning), in close consultation with the Events and Visits manager, Consulate teams and other relevant members of staff. 
  • In conjunction with the relevant Consulate staff, ensure the Residence, contractors, stakeholders and all events comply with necessary Health and Safety rules and wider Consulate guidance. 
  • Purchase supplies for events according to the FCDO procurement guidance, and manage stocks for the Residence (e.g. cleaning items, pantry stocks), following strict audit compliance rules and ensuring value for money.
  • Work with the Residence staff to ensure stocks and supplies are regularly reviewed, and supervise deliveries where needed.
  • Organise the Business Hospitality functions such as breakfast events, luncheons, afternoon teas and dinners. Oversee logistics, scheduling and catering services. 
  • Administration of Business Hospitality expenditure, providing monthly updates to the Events and Visits Manager.
  • Oversee menus, quality of cooking and service to ensure highest possible protocol standards.
  • Review relevant guidance and documents annually, recommend amendments and changes according to the FCDO best practice.
  • Maintain detailed and accurate event files e.g. event request forms, contractor details, event statistics, and payment forms.

 

Residence Management

  • Ensure effective delivery and maintenance of all Residence property and grounds and services, including management of the inventories; cleanliness and hygiene; identify and report repairs/improvement works and maintenance. 
  • Manage relevant accounts and purchasing for the Residence, including supplier liaison, quote management, etc, and monitor Residence expenditure, including accounting for pre-approved credit card expenditure in a timely manner.
  • Co-ordinate arrangements for all official visitors staying at the Residence, ensuring that rooms are prepared for overnight guests, and the highest levels of service are provided, and that all visitors receive a warm welcome and are made to feel comfortable and at home.

 

Line Managing

  • Lead and manage a team of Residence staff, and if/when required casual support staff, providing support and direction as necessary. 
  • Ensure that the Residence staff receive adequate and regular training to undertake their duties effectively. 
  • Manage team and individual performance management according to FCDO policies and procedures.
  • Ensure effective deployment of staff resources, clear forward planning, and flexible delivery in line with operational requirements.
  • Other duties related to the supervision and overseeing of the housekeeping work in the Consulate General.

Essential on arrival:

  • Excellent command (both oral and written) of English and Turkish, Common European Framework level/equivalent C1 or above*;
  • Relevant working experience in the hospitality industry, in diplomatic residence or equivalent and/or within an international standard hotel;
  • Proven leadership capability and line management experience, especially in managing large teams;
  • Ability to effectively prioritise, with a proven ability to work under pressure with limited supervision and work as part of a team;
  • Ability to complete work to a high standard, under pressure with attention to detail;
  • Attention to detail, multi-tasking and ability to adapt quickly to changes;
  • Excellent planning ang organisational skills;
  • Outstanding customer care skills;
  • Flexibility in terms of working hours and duties – be prepared to work additional hours in support of events, including evenings and occasional weekends;
  • Proficiency in Microsoft Office tools particularly Outlook, Word and Excel.

Desirable:     

  • A thorough knowledge and understanding of protocol policies and procedures;
  • Full driving licence;
  • Multimedia skills and keenness to innovate in use of IT to support Residence staff.

This is a full-time permanent contract for 5 working days per week.

Net conditioned hours are 36.25 hours per week excluding lunch time and break periods.

The monthly salary for this position is 1.447,61 USD gross, paid in 12 instalments. Please note that staff members are responsible for paying any income tax required by local law.

The successful candidate will be subject to professional background check, security clearance and a probation period of 2 months.
