The British Embassy in Vienna is part of a network, representing British interests overseas.

We are looking for a Corporate Services Officer to support and manage all protocol and logistics activities for our diplomatic UK Based (UKB) staff in Vienna. Liaise with local authorities to assist diplomatic staff and their families to obtain and maintain diplomatic cards, visas and other official identification and documents.

You will work closely with the Community Liaison Officer (CLO) and the corporate services team to ensure that arrival and departure processes run efficiently. 

What will you be expected to achieve?

  • Maintain succession list for UKbased staff comings and goings;
  • Induction and packs/material and or packs for Ukbased staff  and their families;
  • Staff lists and family list updates;
  • Communications about policies and changes to effected staff;
  • Post Report and Fact Sheet (with CLO);
  • Spouse/Partner Employment information and return;
  • Health care card administration for UKbased staff;
  • Diplomatic ID cards for Ukbased staff;
  • Education – visits, fees and returns including requisitions and payments;
  • Language Officer including processing of payments;
  • Apartment tax exemptions and baggage arrival claims;
  • Cover for other CS Vienna including general requisitions and P2P support;
  • Other administrative corporate services requirements.
  • Fluency in written and spoken English (C1/C2 according to the Common European Framework of Reference for Languages*) 
  • Experience working in an administrative environment;
  • Excellent attention to detail and organisational skills;
  • Strong interpersonal and communication skills;
  • Ability to work independently as well as communicate with the team and a broader office platform;
  • Problem solving and ability to think through the next steps to make positive change;
  • Microsoft Office suite proficiency and ability to work across multiple platforms 
  • Resilience, and the ability to work under pressure;
  • Customer focused.
  • Experience working in an international environment;
  • German language would be highly desirable.

This is a country based staff position in the British Embassy in Vienna; it is not a diplomatic designated position. The position is subject to the terms and conditions of British Embassy employees.

This is a full-time (35 hours per week) permanent contract. Working hours are 5 days a week working from 09:00 to 17:00 and staff are entitled to time-off-in-lieu for extra hours worked. Remote working is common practice since the pandemic however the person is required to come to the office at least one day a week for team meetings with the rest of the Corporate services team and to ensure a strong team spirit and communication is built. The annual leave entitlement is 25 days per year pro rata and the Embassy also enjoys 14 Austrian / UK public holidays per year and we are committed to ensuring a work / life balance.

The successful candidate will be subject to confirmation of a background check and security clearance. It is the applicant’s responsibility to ensure they are legally able to work in Austria. The Embassy is not able to assist with any visa or sponsorship arrangements.

The monthly salary will be € 3,210 gross, payable 14 times a year. Please note that UK nationals will receive their salary net, minus the deduction of an equivalent level of Austrian (UK) tax retained at source. Further information on this will be given to candidates during the recruitment process. All other nationals will receive paid their salary minus social insurance deductions and are expected to comply with Austrian tax obligations through completion of a tax return to the Austrian authorities.

Staff recruited locally by the British Embassy are subject to terms and conditions service according to Austrian employment law.

Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Austria and be prepared to ensure that right remains throughout the scope of the contract. Additional requirements may become necessary pending EU Exit. If requirements change additional eligibility, information will be shared during the recruitment process.
