Main Purpose of Job:

This is a key role at the heart of the Department for International Trade (DIT) team. You will provide executive support to the Country Director, be responsible for day-to-day management of departmental finances, coordinate our relationship management plan with UK and Indonesian businesses, and play a key role in coordinating team activity.

What will the Jobholder be Expected to Achieve:

The post holder will:

  • Provide support to the Country Director and other senior staff, including managing their diaries, meeting and transport arrangements and official visit programmes.
  • Coordinate the British Embassy Business Advisory Forum whose members are the largest UK investors in Indonesia, and maintain a database of UK and Indonesian businesses with whom we work
  • Support DIT events and VIP and VVIP visit preparations and implementation including planning, logistics, visas and finance
  • Manage corporate reporting requirements including the DIT Forward Look, senior management bi-weekly reports, and the team leave plan chart, and other briefing requests as required
  • Support DIT’s relationship with key corporate stakeholders, including the Ambassador and Deputy Head of Mission’s private offices, the Ambassador’s Residence team and the British Chamber of Commerce in Indonesia.
  • Organise DIT new staff arrival induction programme including general introductory meetings (Country Director, HR, IT, Security, Corporate and Finance) and prepare and update DIT induction pack; collate team returns on performance delivery against targets on a monthly and ad-hoc basis.

Finance and Procurement: 

  • Prepare DIT monthly budgetary forecasts, check the monthly actual spend, and manage quarterly business cases for proposed activities
  • Provide quarterly finance report for regional meeting, including: the current financial positions, issues/ challenges and provide recommendations
  • Act as DIT HERA champion, cascading the latest updates on HERA (the Embassy’s finance and HR system) to staff
  • Provide support to the team on procurement processes including supplier registration, purchase orders, and monitoring payments to suppliers.
  • Fluent in Bahasa Indonesia and English, spoken and written, and good communicator at all levels.
  • Very strong attention to detail, including analytical and financial skills
  • Experience in completing timely and accurate written information in English
  • Experience in budgeting and procurement process
  • IT proficiency – Using MS Office, Outlook and ability to learn FCDO/DIT finance systems
  • Strong organisation, administration and communication skills
  • Flexible, proactive, and a fast learner
  • Ability to work at pace and prioritise, managing a sometimes-heavy workload
  • Ability and willingness to work additional hours in the evening and outside working days (e.g., business networking, official visits, traveling), when necessary.

Language Requirements:

  • Language: English / Bahasa Indonesia
  • Level of language required: Fluent (written and spoken)
  • Experience of working across multiple teams in international companies and/or business environment.

The Corporate Support Officer will gain a broad range of trade and investment experience, which he/she can use to further progress their career within DIT.
