The British Embassy in Kyiv is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking to recruit an Events Manager (A2).

This is a key role at the centre of the Embassy’s operations. You will co-ordinate a range of events hosted by the Embassy, including large-scale receptions, seminars and dinners. This includes taking responsibility for relationships with external contractors and sponsors, liaising with relevant departments within the Embassy and management of staff working at the Ambassador’s Residence.

Main Duties / Responsibilities

  • Responsible for ensuring the smooth and effective running of events held at the Embassy, the Ambassador’s Residence and external locations. These will include large receptions for The Queen’s Birthday celebration, events for visiting Ministers and other VIPs, and seminars and training events;
  • Reporting to the Ambassador’s Chief of Staff, you will co-ordinate the planning of events with other departments in the Embassy, ensure that invitations are sent out in good time, and that any necessary equipment is provided;
  • Where events are hosted in partnership with external parties (e.g. British businesses), you will ensure that they are aware of Embassy guidelines on security, branding, and publicity;
  • Line manage the chef and butler at the Ambassador’s Residence and oversee their preparations for events and visitors hosted at the Residence;
  • Liaise with and brief contractors (e.g. caterers and venue providers) on details of events and the Embassy’s requirements;
  • Play an active role in evaluating events and we will encourage you to propose improvements and innovations in the way that the Embassy manages them;
  • The role will require occasional work outside of office hours in order for you to manage the operation of evening or weekend events, including supervising contractors and meeting and greeting guests. The Embassy operates flexible working hours to accommodate this.

 



  • Proficiency in written and spoken English and Ukrainian;
  • Demonstrated experience in resource or budget management;
  • A self-starter, able to work autonomously;
  • Excellent interpersonal, customer handling and communication skills, confident in communicating with people at all levels;
  • Ability to build effective working relationships with internal and external partners;
  • Excellent organisational skills, with proven ability to plan and prioritise tasks;
  • Strong attention to detail, resilient and calm under pressure;
  • Ability to anticipate problems, raising them with senior staff as appropriate, and proposing solutions;
  • Ability to demonstrate a flexible approach;
  • Previous experience of working in a team;
  • IT skills with sound working knowledge of Microsoft Office (including Word/Excel).

  • Previous experience in events management;
  • Working with government and international organisations would be an advantage.

Visa/passport requirements: Must currently hold the independent right to live and work in Ukraine and be prepared to ensure that right remains throughout the scope of the contract.

The appointment is a full-time permanent position.

This is a full-time position of 40 working hours per week including 1 hour per day for lunch. Monday to Friday from 09:00 to 17:00.
