Main purpose of job

The British Embassy is looking for a dynamic and capable Executive Assistant and Prosperity Fund Programme Officer to provide support to the Counsellor for Global and Economy Policy and the UK Government 'Prosperity Fund', which is used to promote economic, trade and energy interests across the US Network.  The Counsellor heads the 30-strong Embassy Global and Economic Policy Group (GEPG), one of the most varied and fast-paced departments in the Embassy, leading on UK-US relations on energy, environment; trade policy, innovation, science and technology; transport policy; and economic policy.  In addition, the Counsellor manages staff at other consulates across the US.  This is a busy and interesting job, working closely with colleagues from a cross-section of the British and US governments, staff across the Embassy, the US network and other key stakeholders. 

What will the jobholder be expected to achieve?

  • Manage the Counsellor’s schedule, including activities with the US Administration, Congress and other relevant external stakeholders; arrange meetings, organise travel and travel related logistics.
  • Develop constructive relations with the staff and offices of the Counsellor’s key stakeholders and contacts in the Embassy, in DC, across the US and in London.
  • Manage the Counsellor’s workflow, exercising judgement to ensure priority issues are attended to, particularly when the Counsellor is on regular work related travel.
  • Provide research assistance, including trip and meeting preparation and background.
  • Manage various GEPG events at the Embassy, overseeing invitations, funding and catering.
  • Act as a central point of contact for the Group within the Embassy; provide wider administrative support to GEPG teams (i.e. stationary orders, scanning, etc.); other duties as assigned.
  • Co-ordinate the Group’s budget forecast, monitoring and reporting, and represent the Group at regular Embassy-wide Finance Committee meetings.
  • Provide assistance with coordinating and planning programmes for inward visits to DC by senior colleagues from other posts in the US Network.
  • Provide support to the Prosperity Programme Team with administrative support; provide assistance with the organisation of Prosperity Board and Prosperity Programme Management Board meetings.

Essential on arrival:

  • A minimum of 3 years relevant experience.
  • Excellent organisational skills and a keen eye for detail.
  • Strong written and verbal communication skills.
  • Ability to multi-task, prioritise and exercise judgement in the face of conflicting priorities and competing demands.
  • Strong interpersonal skills, including the ability to be professional, courteous and deal directly with key players at a senior level inside and outside the Embassy.
  • Excellent proficiency with the Microsoft Office Suite.

Desirable:

  • Previous experience managing budgets.
  • Demonstrated interest in, or knowledge of, issues handled by the Global Economic Policy Group.
