The British Government’s Consulate in Chicago has an exciting opportunity for a highly motivated person to join the Corporate Services Team as Corporate Services Officer. In this role you would be working in a diverse international environment to support UK diplomats and country based staff operating across the British Government’s network of Consulates and Government Offices in the United States. This network provides a platform for approximately 30 Government departments and agencies to conduct their work in the United States and is made up of over 900 staff with a rich and diverse background, skill sets, and experiences.
The candidate will be part of the Chicago Corporate Services Team, which covers Finance, HR, Protocol, Facilities Management and Compliance, and IT. The Corporate Services Officer will support the Corporate Services Manager with facilities management and day to day administrative tasks. The jobholder will be the point of contact for suppliers and contractors, will manage actions for property compliance and will keep record of inventories.
The successful candidate will work alongside a second Corporate Services Officer and Executive Assistant to HM Consul General to support other Corporate Services tasks, as needed.
The ideal candidate will be a team player, able to shift focus to respond to unexpected, short notice requests, a problem solver with a background in customer service, and office experience.
Roles and responsibilities:
- Provide support to deliver an efficient and smooth running Estate to maintain a safe, healthy and sustainable office and residential environment. Respond to service requests, Health & Safety and security compliance. Residential contractor liaison. Property maintenance/database.
- Inventories of assets: Residence inventory, Government Art Collection, entertainment supplies, domestic equipment, other residential furniture. Keep inventories to date.
- Assist with Protocol requests.
- Support and provide cover for other Corporate Service Officer with needs for new hire orientation, IT, Finance and HR, when needed.
- Opportunity to attend and support functions and other events at the official residence.
- Reconcile own expenses in a timely manner and ensure suppliers are paid on time and following procurement rules.
- Crisis/Emergency Management - participate in crisis training and exercising and be part of the Consulate-wide team response in the event of a crisis. Contribute to Crisis management plans.
- Any other duties as assigned.
Resources managed:
Inventories, payments and budgeting for suppliers and contractors.
Reports to Corporate Services Manager and works alongside Corporate Services Officer.
Essential on arrival:
- A minimum of 1+ year of relevant work experience;
- Excellent problem solving skills, sound judgement, common sense and the ability to remain calm and composed under pressure;
- Strong interpersonal and communication skills - a team player with the ability to work with others and integrate fully into a wider network;
- Attention to detail and ability to take ownership and make decisions
- Working knowledge of Microsoft Office programmes
- Ability to respond to short notice deadlines

Requires standard working pattern of two 8 hour days in the office and one 4 hour day remotely.
This role is 20 hours a week, each day can vary and will be agreed with Corporate Services Manager, as needed.
The British Embassy and its US Network embraces hybrid working, allowing its staff to typically work from home 2 or 3 times a week (fulltime). We are an organization that also recognises the critical value of team work and we embrace and endorse collaboration by ensuring that all staff attend the office flexibly yet regularly.
Core working hours are between 8 am and 5 pm, jobholder will agree split of the 20 hour schedule with Corporate Services Manager and other Corporate Services Officer.
