Main purpose of job:

Working to the I.T & Post Security Manager (I.T & PSM) and the Regional Overseas Security Manager (ROSM) the I.T & Security Co-ordinator role is to be the coordination person for the consulate security team, providing a support and administration role.

The successful applicant will be responsible for providing support to the I.T and security management of all mission premises in Shanghai, providing administrative support as specified by the I.T & Post Security Manager or the Regional Overseas Security Manager.

As well as this role primarily being administrative there is an important liaison role; at times acting as the interface between a wide range of stakeholders and staff, UK based, locally-engaged, other security personnel, and members of the public. The role calls for a confident, articulate person who can project a presence, but also someone who can display empathy and calmness under pressure. Credibility will be important.

Roles and responsibilities:

Manage Windows network with 100+ users

  • Respond to user support requests
  • Troubleshoot and resolve user problems
  • Provide ad-hoc training to users to help them make the most of the system
  • Manage user accounts and access to the system
  • Maintain and keep administration records
  • Escalate problems to IT colleagues in the China Network and UK as appropriate

Manage Hardware and network infrastructure

  • Troubleshoot and resolve hardware and network problems with both IT hardware and telephone systems
  • Escalate problems to IT colleagues in the China Network and UK as appropriate
  • Rebuild and replace faulty equipment
  • Upkeep of hardware inventory
  • Support the I.T & PSM in project and maintenance work as required

Manage the security of the mission and IT systems

  • Support in the management of mission access and passes
  • Liaise with I.T & PSM and security guards when needed to identify and rectify security concerns;
  • Maintain and keep administration records on security processes and procedures updating accordingly
  • Act as a link between HR and the security team on staff clearances
  • Act as a source of support and information to staff
  • Support in the management and maintenance of CCTV and alarm systems across the mission
  • Ensure IT and standard security procedures are complied with
  • Escalate potential breaches as appropriate.

Management and maintenance of non-business critical systems

  • Manage user accounts and access to a small windows network
  • Management and monitor of hardware, software and network infrastructure
  • Help set up rooms and equipment for presentations
  • Help to work on small scale.

IT training, learning and development

  • Help build awareness and capability across an organisation of 100+ users
  • Assist I.T & PSM when required in training staff on processes, equipment and applications

Mission Crisis Response

  • Support in maintaining and updating Post Crisis Management Plan
  • Support in maintaining equipment for crisis response
  • Knowledge of Windows network systems
  • Fault-resolution and network/application troubleshooting across Windows network environments
  • Knowledge of Microsoft Office
  • Knowledge of viruses, hoaxes, and associated anti-virus programs, resources and avoidance strategies
  • Experienced at helping users get the most out of IT systems
  • Language: Native English (Spoken and Written) 
  • Knowledge of physical protection systems
  • Experience running a secure working environment and coordinating secure procedures
  • Chinese language ability
  • Experience delivering IT Support in a busy environment
