View Vacancy - Corporate Services Intern - Mexico City
Main purpose of job:
Support administrative functions carried out within the Corporate Services section, acting as receptionist backup, managing incoming calls and commutator, while also assisting other areas of the Embassy. Assist with the Pay to Purchase (P2P) processes. The job holder is also called upon to provide assistance to other sections when required. Roles and responsibilities include:
• Providing attention to the general public, either in person, by email, or phone.
• Researching and analysing different types of information.
• Delivering reports in Excel, Word, PowerPoint to their Line Managers.
• Translating and drafting of texts/emails/documents in English and Spanish.
• Market research.
• Comparing different suppliers looking for the best option based on the Value for Money premise.
• Providing support in importations/exportations.
• Providing logistics support in events, participating in commercial and cultural events in the promotion and marketing of Mexican products and the United Kingdom, development and follow up with key contacts.
• Back up Receptionist: Covering reception, managing incoming calls and visits.
• Back up Receptionist: Managing agenda of conference and meeting rooms, organizing logistics of events along with the handyman and other areas.
• Assisting other sections from CST, such as IT, Logistics, Estates, Finance and HR.
• Attending events organized by other sections.
• Performing other activities required by the line manager in this position.
• Willingness to learn in a customer service related environment.
• Proficient in MS Office.
Language: English and Spanish required
Level of English required: Intermediate/Advanced
• Previous experience in Logistics and/or Protocol.
• Previous experience of translating texts.
• Previous experience of working in imports and exports.
• Ability to manage own time and workload effectively, to deliver the requirements of the job, learn lessons, and respond appropriately to feedback while continually improving performance.
• Ability to value achievements, providing feedback when necessary and building confidence and trust.

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
