Corporate Services Support

The British Embassy in Stockholm is part of a world-wide diplomatic network, representing British political, economic and consular interests overseas. The Embassy is now looking for a new Corporate Services Assistant, to provide a high standard of administration and logistics support to the Embassy. Core duties include administrative assistance for the Corporate Services Team and driving.

Roles and responsibilities:

Finance and procurement support: (60%)

  • Monitoring incoming requests and creation of requisitions as part of the purchase-to-pay process
  • Routine scanning and uploading invoices to Sharepoint, providing effective support for invoice processing
  • General administration support to the Accountant
  • Budget monitoring of IT & Security spend
  • Value for Money exercises and general procurement

 

Logistics Support (30%)

  • Basic end-user support
  • Undertake driving responsibilities and logistical support
  • Support on-boarding and exit procedures for staff; IT, Email, Access
  • Maintain official bicycle fleet

 

Administrative Duties   (10%)

  • Coordinating language training and progress assessments for incoming UK based staff; liaising with local providers as necessary
  • Undertake any ad-hoc duties to help meet the Embassy objectives


  • Valid driver’s licence
  • Good communication skills
  • Ability to work under pressure
  • Well organised
  • A polite, friendly and tactful manner when handling complaints, enquiries or solving problems
  • Good IT skillset, proficient user of Microsoft Office

  • Previous experience working in an international organisation.

This is a full-time permanent contract. The British Embassy is open to considering flexible working requests, including some remote working. However, due to the nature of the role, it will not be possible to do the job fully remotely.
