Driver / Messenger

The British Embassy in Ljubljana is part of a worldwide network, representing British political, economic and consular interests overseas and is now looking for a Residence Assistant / Her Majesty’s Ambassador (HMA) Driver to drive for the Ambassador / staff in a safe and customer focused manner, maintaining vehicles and ensuring compliance with local and UK requirements. To assist and support the Residence Manager and Residence staff during official events and supervise maintenance workers at the Residence.

Main responsibilities will include:

Events

  • Bulk shopping the official residence supplies  and occasional stock control;
  • Assisting at the receptions;
  • Preparing residence for official entertainment: rearranging furniture, laying tables;
  • Occasionally serving drinks and biscuits during Ambassador’s official meetings or Embassy staff meetings.

Maintaining of the Residence

  • Supervising external suppliers e.g. window cleaners, maintenance professionals, caterers, florists etc.;
  • Checking and updating the Residence inventory;
  • According to the weather conditions: water garden flowers, plants and grass during the summer months.

General Residence team support

  • Occasional paying official Embassy bills at the site of suppliers;
  • Attend Residence staff briefing meetings where the plan of work is presented;
  • Flexible assistance to the Residence manager to ensure help according to ad-hoc needs of specific event.

Driving

  • Excellent customer service with knowledge of local routes respecting local traffic laws and regulations at all times;
  • Provide and confirm journey information to the Head of ambassador’s office well in advance;
  • Work in partnership with the team and/or suppliers if unexpected changes occur, keeping the customer informed at all times;
  • Ensure personal and passenger safety at all times;
  • Work in partnership with local police and traffic authorities.

Maintenance

  • Ensuring the vehicle is well maintained and cleaned. With issues escalated to the Head of Corporate Services (HCS);
  • Ensure that vehicles are prepared, fuelled and secured in advance of trips;
  • Ensuring servicing, preventative maintenance and registration are regularly carried out;
  • Complete transport administration duties, maintaining an accurate record of all bookings, journeys, mileage records and fuel consumption.

 Team Support

  • Attend corporate service meetings;
  • This position will be required to perform ad-hoc duties that may include transporting documentations and/or diplomatic bags and assisting with duties other than transport related functions. 
  • Fluency in Slovene and English (both oral and written, minimum C1 level*);
  • Good communication and interpersonal skills;
  • Strong customer focus;
  • Clean driving licence;
  • Experience of driving in a professional capacity.
  • At least 5 years of proven safe driving experience;
  • Experience or completion of an approved vehicle driving course;
  • Previous experience driving for government organisations, UN agencies, or other diplomatic missions;
  • IT Skills: basic computer (MS Word, Outlook) skills to complete and fill electronic documents.

This is a full-time, temporary position of 40 hours gross per week for one year with the possibility of extension by mutual agreement.

The successful candidate will be subject to professional background, security clearance and a probation period of 6 months probation period.
