The British Embassy in Ankara is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for 3 Corporate Services Assistants on an on-call basis contract.

The jobholders will be part of the corporate services section and will be responsible for providing reception services for the Embassy.


Main Duties and Responsibilities

Receptionist

  • Answer and direct incoming calls to appropriate individuals, taking short messages or transferring calls to voice mail when appropriate personnel are unavailable;
  • Meeting and greeting of all visitors to the Embassy promptly informing relevant sections of their arrival.

Transport

  • Manage the official Transport schedules, including line management of one driver, co-ordination of the daily vehicle / taxi - booking log.
  • Maintain journey spreadsheet records of vehicle expenditure and mileage. Monthly notifying this with a report to CSM.
  • To renew the Transport and Driving regulation yearly and notify drivers for their signature.

Administrative Tasks

  • Accept deliveries and distribute as appropriate.
  • Manage the local cargo to the other posts and international when required.
  • Registration of daily incoming faxes.
  • Maintain the Embassy telephone directory.
  • Responsibility for the ordering and control of official stationery and cleaning material.
  • Preparing and maintaining inventories of stationary items, cleaning materials, lines and telephones.
  • Distributing Embassy Newspaper in absence of the jobholder.
  • Preparing and confirming Maintenance Contracts for the office equipment.  
  • Following the renewal time of the contract. Ensuring timely maintenance of the machines.
  • Accepting incoming mobile phone bills, recording their acceptance to excel sheet and distributing them to pigeon holes.

  • Fluent in spoken and written Turkish and English.
  • Administrative skills.
  • Previous reception or customer services experience.
  • Strong IT skills (office programs).
  • A polite, friendly and tactful manner when handling complaints or enquiries or solving problems.
  • The ability to work under pressure and prioritising, good teamwork skills.

This is a full-time on call contract and selected applicants will be called to work for short term periods when needed.

The salary for this position is 6.95 USD gross per hour, paid pro-rata for the hours worked per month. This amount corresponds to the A1 level. Please note that staff members are responsible for paying any income tax required by local law.

All applicants should have the right to live and work in Turkey. The British Embassy does not sponsor for work permits.

The successful candidate will be subject to professional background check, security clearance and a probation period of 2 months.

Staff recruited locally by the British Embassy in Ankara are subject to Terms and Conditions of Service according to local Turkish employment law.
