The British Embassy in Ljubljana is part of a world-wide network, representing British political, economic, consular and Defence interests overseas and is now looking for a Residence Manager, to manage, maintain and develop the British Residence in Ljubljana, working to the Ambassador and liaising with the wider Embassy team. 

The successful candidate is responsible for helping the Ambassador make best use of the Residence in support of Embassy goals. This means creating a great venue, helping to develop innovative events, ensuring all guests are well looked after and that the Residence is well maintained. This is a brilliant opportunity with lots of exciting elements.

Overall we are looking for someone who is well organised, strong on visuals and interested in creating a good space, creative and great at events, and a real people person - good at working with others and taking  care of guests. There are also more routine elements to the role, e.g. shopping for Residence events/upkeep so we are looking for someone who is flexible and can turn their hand to different things, supported by a part-time housekeeper. They will also need to work flexibly - covering evening events at the Residence and adapting daytime hours accordingly. Finally we are looking for someone who enjoys good food!

Main responsibilities will include:

  • To develop the Residence, working with The Ambassador and Corporate Services Team, to make best use of the space and garden. Bring ideas for improvements and follow through in discussion with the Ambassador, to create a welcoming, modern space for Embassy and wider events. Oversee wider maintenance and associated budgets, planning ahead and ensuring value for money;
  • To plan all events at the Residence working with the Ambassador and wider team. Take a creative approach thinking about what is needed for different events and how best to meet the Embassy’s business goals. Help welcome and look after guests and oversee staffing and budget for all events, working creatively with external suppliers to ensure great food and value for money;
  • To arrange all official entertainment in the Ambassador’s Residence (catering, hiring external staff and professional moving services etc.) and liaising with other sections on issuing invitations, compiling guest lists and preparing programme for the events;
  • To manage staff employed long term and on contract to maintain the Residence and run events and the Residence budget ensuring quality and value for money.
  • Fluency in English and Slovene (both oral and written);
  • Good organisational skills;
  • Independent decision making;
  • Excellent communication and ability to liaise with different internal and external stakeholders;
  • Capacity to bring fresh ideas and to work under their own initiative, but also able to adapt and improve;
  • Team management skills.
  • Experience in working and managing budgets and range of contractors, ensuring they deliver on time and on budget to the required specification;
  • Event management, including effective budget forecasting and monitoring.

This is a permanent full-time position of 5 days (40 hours per week), subject to a probation period of 3 months. Working hours are flexible and staff are entitled to time-off-in-lieu for extra hours worked.

The successful candidate will be subject to confirmation of a background check and security clearance.
