View Vacancy - Estates Officer A2 (06/20 DKR)
Main Purpose of Job:
To assist the Estate Section at the British Embassy in Dakar in providing high quality Estate Management Services in line with Estate and Security Directorate standards.
Roles and responsibilities :
Manage mailbox for Estates, to make sure that all requests are addressed properly, with regular feedback to customers.
Coordinates with TWG for works’ schedules.
In collaboration with Estates Manager, help implement all estates and security recommendations made by management in London.
Provide support to diplomatic staff at the Embassy to ensure accommodation is suitable.
Line Management – Manage an Estates team of three staff (gardeners).
Post Compliance Assessment : maintain documentary evidence of Health and Safety checks, in line with FCO health and safety .
Responsible for subscriptions of electricity, water, telephone and internet in rented properties and ensuring uninterrupted supply of utilities.
Assist Estates Manager in the preventive maintenance programmes at the Embassy and rented properties.
Assist Estates Manager in the inventories and disposal of stock of furniture and equipment.
Procurement : issue requisitions and perform purchasing functions for the Embassy in line with the FCO’s rules and regulations.
Assist Estates Manager for managing housing data base.
Manage timely insurance and tax registration processes of contracts for rented properties.
Responsible for recording data at entrance and exit inspections in rented properties and follow-up for refurbishment works.
Act as back up Estates Manager when needed.
Resources Managed (Staff and Expenditure)
- Manage the gardening team
An understanding of housing processes and health and safety issues, with experience in customer service management
Proven administrative skills and staff management
Relationship management.
Good IT skills with an ability to quickly get to grips with new software.
Proficient in both spoken and written English & French
Health and safety training- certificate
Strong experience in civil or mechanical engineering.
Working Hours
Mondays to Thursdays 08:00 to 16.30, Fridays 08:00 to 12.30
Learning and development opportunities (and any specific training courses to be completed):
The British Embassy will provide online trainings and staff will need to complete FCO mandatory e-learnings. Occasional travel may be required.
The Job holder need to be willing to involve on physical works like loading and unloading stuffs and walking around in the large compound between offices.
All applicants must be legally able to work in Senegal with the correct visa/status or work permit.
The successful applicant will demonstrate that they meet the requirements under Senegal law to work in Senegal.
