The British Embassy in Spain is part of a world-wide network, representing British political, economic and consular interests overseas and is now recruiting for the position of Consular Assistant, based in Barcelona.

As a consular assistant you are required to provide a high quality, professional and efficient consular service to visiting and resident British nationals in the Catalunya Consular district. To provide a high level of support to the consular team. To be a fully engaged and proactive member of the consular team, attending to members of public at the counter and remotely.

Processing Emergency Travel Documents for British nationals whose passports have been lost or stolen.

Provide support in back office work and projects for the rest of the consular assistance team. This will include filing, general administrative tasks, taking telephone calls and answering written enquiries by email or letter.


Roles and responsibilities:

Customer: counter/telephone

To handle counter, telephone and written enquiries from the general public and local authorities. To prepare and issue ETDs, recovered passports in casebook To promote improvements to the customer experience and proactively participate in the implementation of changes related to customer service;

 Consular /Post Support

To provide general office admin support, ensuring that the waiting room is kept tidy and well stocked, and that the notice boards are kept up to date with relevant information. To record consular postage, and go to post office when needed. To reconcile DHL statements, arrange for documents to be sent by courier company as appropriate. To file consular papers, organise the filing room, and instigate weeding of files within consular guidelines;

Prevention and communications

To assist in organisation for Brexit outreach events. To feedback information relating to any trends identified from dealing with customers at the counter, so they can be fed into future P&C activities;

 Crisis                                                                                                                                                                                  

 To help prepare for crisis handling and implement Crisis Management Plan as and when activated.


  • Fluency in English and Spanish, both oral and spoken (a minimum of C2 level**);
  • Proven experience in customer service handling;
  • Excellent communication and customer service skills, including an ability to support customers in traumatic or difficult circumstances;
  • Excellent interpersonal skills, ability to work collaboratively with colleagues in Spain, Wider Europe Network and the UK;
  • Attention to detail, strong analytical perspective and problem solving skills;
  • Ability to work at pace and prioritise, managing an often heavy workload; excellent organisational skills;
  • Good IT skills (use of Outlook, PowerPoint, Word and Excel essential);
  • Key qualities are flexibility, empathy and resilience;
  • Clean driving licence.
  • University degree;
  • Experience in a social work or welfare support setting;
  • Experience in statistics gathering and analysis;
  • An understanding of the issues that British nationals in Spain may face, both tourists and residents.

Terms and Conditions

This is a 6 month fixed-term and full-time position of 5 working days (37.5 hours per week).

The successful candidate is subject to a confirmation of a background check, security clearance and the successful completion of a probationary period and should be available to start working as soon as possible.

The annual salary is € 22.962,78 paid at a locally engaged A1 level.

The successful candidate will be enrolled in the Spanish Social Security Scheme and will therefore not be entitled to any gratuity from the Embassy/Consulate based on gross annual salary.

Regarding taxation, the Consulate in Palma is part of the British Mission in Spain, and as such supervised by the British Embassy. The Embassy is a Diplomatic Mission with tax exempt status and does not collect taxes for other States. Employees are fully responsible for payment of Spanish income tax at the legally required rate. Staff recruited locally by the British Embassy in Spain are subject to terms and conditions of service according to local Spanish employment law.
