The British Embassy in Berlin is part of a world-wide network, representing British political, economic and consular interests overseas. An exciting opportunity has arisen for a Estates & Procurement Team Assistant to:

  • Provide support with the management of the Embassy’s residential estate in the Berlin area
  • Provide support with procurement processes and financial transactions;
  • Provide administrative support to the wider Corporate Services Team as directed.

Main Duties and Responsibilities:

• Coordination of enquiries, general correspondence and administrative tasks;
• Support the team with the search of new rental properties for diplomatic staff;
• Support the team with the preparation of properties for newly arriving diplomatic staff;
• Set-up and regularly maintain furniture inventories for all residential properties;
• Conduct the check-in and check-out of occupants on arrival and departure;
• Register and de-register properties with utility suppliers as required;
• Raising of electronic requisitions for purchases;
• Organisation of domestic equipment floats for arriving and departing diplomats;
• Ordering of heating oil for properties;
• Administer local public transport travel card subscriptions for Embassy staff;
• Checking of inventories of the Government arts collection and high value items;
• Coordinate and support any visits to the residential Estate and wider Corporate Services Team (such  as heating oil deliveries, maintenance and landlord visits, health & safety inspections, official visits);
• Contribute to wider objectives of the British Government’s Germany network and support its positive working environment;
• Carry out any other duties that may reasonably be required and which are in accordance with the grading and core competencies of the job.



  • Relevant work experience for the position of at least 2 years;
  • Excellent organisational skills;
  • Ability to deliver high quality work within deadlines;
  • Fluent English and German, both written and spoken. To at least C2 level;
  • Excellent communication skills and strong customer focus;
  • Ability to work independently, but also with colleagues and contacts in the immediate and wider teams as appropriate;
  • Self-starter;
  • Ability to travel independently across the Embassy’s estate throughout the Berlin area;
  • Excellent IT skills, especially standard MS Office applications (Word, Excel and Outlook)

  • Some work experience in a property management environment;
  • Clean driving licence;
  • Experience of working with oracle-based IT applications.

This is a full-time position of five working days 37.5 hours net (excluding unpaid breaks) per week, for an initial contract period of two years.

The British Embassy in Berlin has a strong ethos of Learning and Development, including our Learning and Development Week. In addition, there will be many opportunities to attend external seminars and events on relevant issues. This is in addition to the induction programme offered to all Embassy staff.

Visa/passport requirements: the successful applicant must currently hold the independent right to live and work in Germany and be prepared to ensure that right remains throughout the scope of the contract.
