The UK Delegation to the OSCE (Organisation for Security and Cooperation in Europe) is looking for a Personal Assistant to the UK Ambassador to the OSCE. As a key member of our small and busy team, you will work closely with the Ambassador, providing a range of support functions and act as a key contact point and a hub for information for other team members who are out of the building for much of the time. In particular, you will lead on the management of the Ambassador’s inbox and diary; forward planning of meetings, events, dinners etc; and supporting the Ambassador’s preparations for those events.

 Main Duties and Responsibilities

  • Management of Ambassador’s diary and daily / weekly programmes. Prioritising of invitations. Forward planning for meetings, events etc, liaising with team to organise events and commission necessary briefings; pulling together relevant papers for the Ambassador’s appointments; organising travel.

  • Handling of incoming emails and calls, drafting routine correspondence and liaising with other Delegations in Vienna, the OSCE Secretariat and FCO colleagues in London and overseas.

  • Management of Ambassador’s travel and entertainment budget and corporate credit card claims.

  • Support to DHM and Delegation – co-ordination of weekly schedule and transport plan, monitoring of social media and of emails on unclassified system. Manage / assist with programmes for inward visitors.



  • Excellent interpersonal and organisational skills;

  • Drive and initiative to get things done and build relationships;

  • Excellent time management and an ability to respond to changing priorities and tight deadlines;

  • High level of discretion;

  • Strong judgement , problem-solving skills and attention to detail;

  • Flexibility and willingness to occasionally work out of normal office hours during busy periods;

  • Availability to travel to support the Head of Delegation and team at annual multilateral events (OSCE Ministerial Council);

  • Advanced proficiency in English (spoken/written) and good IT skills (Microsoft Office).


  • Ability to read and speak German strongly desirable.

This is a local staff position in the British Embassy Vienna; it is not a diplomatic designated position. The position is subject to the terms and conditions of British Embassy employees.

This is a full-time permanent position of 5 days per week. Working hours are flexible and staff are entitled to time-off-in-lieu for extra hours worked. The annual leave entitlement is 25 days per year pro rata and the Embassy also enjoys 14 Austrian / UK public holidays per year and we are committed to ensuring a work / life balance.

The successful candidate will be subject to confirmation of a background check and security clearance. It is the applicant’s responsibility to ensure they are legally able to work in Austria. The Embassy is not able to assist with any visa or sponsorship arrangements.

Monthly salary will be € 2,995.00 gross, payable 14 times a year for those liable for Austrian tax.
