British diplomatic posts overseas are at the frontline of a UK government response to an overseas crisis affecting British people and interests. This role focusses on administrative support to the two Asia Pacific Regional Crisis Advisers (RCAs) as well as wider support for the global RCAs and the FCO’s Crisis Management Department (CMD) in London.   

The jobholder will be expected to co-ordinate and manage RCA shared workspaces, ensuring that RCAs have access to the latest crisis training and exercising documents, crisis guidance and relevant crisis statistics. The jobholder will support RCA travel planning, ensuring that budget profiling and monitoring is accurate for the Asia Pacific RCAs.

The jobholder will champion the Foreign and Commonwealth Office’s (FCO) clear crisis management methodology and training products, supported and directed by the APAC RCAs. Although this role is based in Bangkok, you will be supporting and communicating with Posts across Asia Pacific, sharing guidance and best practice and occasionally supporting training and exercises, possibly involving some regional travel.

This interesting and challenging role requires excellent interpersonal and organisational skills, as well as an ability to work proactively and unsupervised.

Roles and responsibilities:  

Administrative Support: The co-ordinator will be responsible for providing travel-planning support, including supporting the lead RCA, with monitoring the RCA budget and spending profiles. The jobholder will be expected to catalogue and organise exercise materials, guidance documents and lessons learned, following crisis exercises, as well as compiling and organising crisis statistics.

Information Management: To manage the APAC RCA and RCA Network SharePoint pages, ensuring that information is relevant and up to date. The co-ordinator should liaise with CMD regarding the latest training materials and ensure they are shared and accessible to RCAs using Office365 tools.

Training & Exercising: To provide logistical support prior to the delivery of crisis exercises and training at Posts. Help produce crisis materials before exercises, especially relating to the Crisis Hub. To maintain a record of upcoming crisis activity and to ensure that stakeholders are aware of the event. On occasion, the co-ordinator may be required to help deliver an exercise, which would involve some regional travel.

Crisis Hub: To act as a champion for the FCO’s Crisis IT system, Crisis Hub and ensure relevant staff across the region can access support and guidance. To provide occasional training support to ensure staff keep their skills and access up-to-date, to reflect the latest developments of Crisis Hub. 

Communication:  In liaison with CMD/RCA’s/ Posts, promote and share communications and current best practice with regard to the crisis planning, crisis response and recovery. This may include regular email bulletins and/or organising regional teleconferences

Events Management:  To co-ordinate events e.g. conferences and training. To provide logistic arrangements for facilitators and participants ensuring that the event will run smoothly.

Ad hoc admin support: Provide support to RCA’s with the production of ad hoc exercise materials and PowerPoint presentations. Will help to coordinate internal/external events when required.

    • Excellent English language skills (written, listening and speaking). TOEIC Score of 785 or above (Equivalent to IELTS 7.5 or above)
    • Understanding of and an ability to work in an international or governmental organization.
    • Excellent inter-personal, communication and team working skills.
    • Excellent organisational skills and a proactive approach.
    • Resilience, with ability to work unsupervised and be innovative.
    • Self-starter with strong time management skills - able to work to deadlines and targets
    • Excellent IT skills (Outlook, PowerPoint, Word and Excel)
    • Familiarity with Office365 suite.
    • Experience with budgeting and budget monitoring.
    • Familiarity with crisis management issues.
    • The ability to deliver training in a professional environment, ideally with an externally validated professional accreditation
