The UK Representation to the European Union (UKREP) in Brussels is part of a world-wide network of 230 Diplomatic Posts, representing British political, economic and consular interests overseas and is now looking for a Visits and Events Officer.

On 29 March 2019, the UK will leave the EU and UKRep will become a Third Country Mission to the EU. While the nature of UKRep’s work will change, it will remain a significant and busy UK overseas Mission as we work to establish a close future partnership with the EU. Given this evolving context, we are looking for an individual who is prepared to be flexible and adjust their responsibilities as required.

This is an exciting high profile and fast-paced job. The EU institutions attract nearly 180 visits from UK Ministers and senior officials a year. The visits and events officer plays a key role in the Visits and Events team organising and managing visits and events by UK Government Ministers and other senior officials.

The period up to and during the UK’s exit from the EU will be an extremely busy period, and this could mean there is a requirement to occasionally work longer hours than contracted, including outside core hours. As an integral member of UKRep, you will be expected to be flexible and adapt to help cover during this busy time, but you will be offered time off in lieu for any extra hours worked.

Main Duties and Responsibilities:

  • To create detailed programmes and make practical arrangements for visits by senior officials and Ministers on EU related business. This will involve arranging travel, hotel, logistical and security arrangements and working closely with Mission colleagues and stakeholders;
  • To liaise with UK Government departments, the Belgian Ministry of Foreign Affairs, airports and railway stations, hotels as well the EU institutions on the details of the visits. To greet Ministers on their arrival and ensure their programme runs smoothly from start to finish;
  • To provide logistical support and assistance with Public Diplomacy team and Mission colleagues in key delivery of UKRep-branded events.
  • Previous relevant experience in events management/project management and/or experience in delivering events for large organisations;
  • Proven experience in dealing with stakeholders at all levels and communicating with a wide variety of people including senior contacts;
  • Excellent interpersonal, customer handling and communication skills;
  • Excellent organisational skills, with proven ability to plan and prioritise tasks;
  • Strong planning and self-management skills;
  • Fluency in English (both oral and written);
  • Have strong IT skills;
  • Enjoy working in a team;
  • Have an open and flexible approach, with the ability to anticipate and solve problems and pay close attention to detail;
  • Flexibility for occasional travel, out of hours and weekend work.
  • An understanding of French or Dutch;
  • An understanding of the European Union and UK Government;
  • An interest in Visits and Events;
  • Hold a valid driving licence.

This is a permanent full-time contract for 5 working days (36.25 hours net) per week. Although the appointment is for an indefinite period of time, it is expected that the overall period of service will most probably not exceed two years. This point will be addressed during the recruitment process.

The monthly salary for this position is € 3.175,72, A2(L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.

Staff recruited locally by the British Diplomatic Missions in Belgium are subject to Terms and Conditions of Service according to local Belgian employment law.
