The British Consulate General in Istanbul is part of a worldwide network representing British political, economic and consular interests overseas and is looking for a UK Visas and Immigration (UKVI) Office Manager for its UK Visas and Immigration (UKVI) section.

UKVI is the overseas arm of the UK's immigration control. Istanbul is one of the busiest Visa Sections in the world and processes applications made in Turkey, Central Asia, South Caucasus, Tel Aviv and Northern Cyprus. We are committed to providing a first class service, and are expected to be flexible, and to make fair and defensible decisions on visa applications quickly, balancing the need for a high level of customer service with the requirement to maintain the integrity of the immigration control.

The main purpose of this job is related to office management, in what relates to:

  • Motivate and support visa section staff through effective line management, by providing and ensuring regular dialogue and open communication, and ensuring correct levels of staffing;
  • Promote and uphold high professional standards, leading by example when dealing with enquiries and answering correspondence relating to Operational and Business Support activity;
  • Manage resources proactively to ensure an effective response to changing demands and priorities, including through active change management;
  • Ensure all management controls are in place and checks are carried out in accordance with Best Practice guidelines and that statistical returns are fully and correctly completed within time limits. 

Moreover, it will also include:

  • Direct Line Management of support staff and countersigning officer role for those in line management chain with teams;
  • Liaison with local and Regional Teams to provide support for local recruitment campaigns, HR issues and induction for new staff;
  • Complete monthly administrative returns and any other statistical returns as required;
  • Approving expense and procurement charges on appropriate computer systems;
  • Working collaboratively with the local and Regional management teams as well as the People Committee to ensure delivery of commitments under the regional Delivery and Change Plan – specifically Great Place to work/Operational Excellence, Customers, Digital Delivery and Resources;
  • Liaison with Corporate Services on office maintenance and the “Green” agenda;
  • Liaison with the Regional and Local training teams to ensure all staff comply with Mandatory and Annual training requirements and up keep an up to date a register of training activity;
  • Liaison with IT Support Officers on creation, and deletion of user accounts and distribution lists and maintaining an accurate asset register;
  • Working with the Customer and Commercial teams to assure Management Information and contractual obligations are met;
  • Engage proactively with the Supplier Relationship teams to obtain and consolidate Customer Insight;
  • Assist with the maintenance and delivery of Internal Communications.
  • Fluency in English (both oral and written);
  • An excellent team player with experience in office management and in managing teams;
  • Able to work under pressure as part of a large team and complete tasks to an agreed standard;
  • Play a multifunctional role and maintain flexibility and rotate between units and various tasks as required;
  • Able to remain customer focused, polite and courteous under pressure;
  • Able to manage own workload with minimal supervision;
  • Experience in Microsoft Office applications, in particular Word and Excel;
  • Flexible and positive about working in a forward thinking, modern and motivated department, which is working at the forefront of visa work.
  • Experience in HR;
  • Experience in working in an international or governmental organisation
  • Experience in Customer Service Management.

This is a full-time permanent contract, for 5 working days (36.25 hours net) per week.

The monthly salary for this position is 2,602.41 USD gross B3 level. Please note that staff members are responsible for paying any income tax required by local law.

The successful candidate will be subject to professional background check, security clearance and a probation period of 2 months.
