Main purpose of job

To provide support and assistance to the Refurbishment Project Team, including the relocation management activities. Will work closely with, and take direction from the Project Manager, the Assistant Project Manager and the Move Coordinator.

  • Provides administrative support services for the Project Management Team
  • Provides support for the preparation, as well as the physical moves of the Embassy and other properties
  • Provides support for the Project & Support Officers to organize and complete move related activities
  • Provides administrative support services for the move management plan

Roles and responsibilities 

  • Manage the storage and reinstall of all Embassy Fine Arts and Furnishings in the Ambassador’s Residence and associated representational properties.
  • As directed, assist with inspection of materials/products stored on site for damage, completeness, labeling, safe/secure storage
  • Coordinate site visits with vendors and contractors, as requested by the Project Team
  • Manage the process for inventorying of the furniture, materials and equipment to be moved and/or disposed of/liquidated
  • As directed by the Relocations Specialist, draft correspondence, minutes, update task lists, schedules, move management records
  • Set up and maintain on site, hard copy and e-files for all move related documents, as directed by the Project Management Team
  • Oversee scheduling & supporting the Project Support Officers for assignment & completion of all move related activities
  • Assist with the planning, organizing and completion of all moves including but not limited to purging and clean-up activities, in preparation for relocation of each department
  • Assist with services provided by the Moving Company, cleaners, shredding company, prior to/during/post moves
  • As directed, assist with the procurement and installation of temporary and permanent furniture
  • Ensure inventories are completed for all furnishings, equipment, materials to be relocated, including the correct labelling of same
  • Other adhoc duties as required for the completion of the project and the relocations
  • 3 years relevant experience, in either project admin, project support or coordinating/scheduling visits or a similar field
  • Training or experience in project management skills and relocation management
  • Ability to be organized and proactive
  • Detailed oriented
  • Good document control and record keeping skills
  • Ability to plan, organize and prioritize, own and support staff workloads
  • Strong interpersonal skills
  • Ability to work flexible hours, including occasional weekends
