Private Office

Main purpose of job:

Administrative support contributing to an efficient and effective Private Office. The assistant works as part of a 2.5 member team. Excellent IT skills are required, including the full Microsoft suite. You will be fluent in Japanese and be competent in English. This is an excellent opportunity for someone keen to develop office based skills and English language skills, and who enjoys a dynamic and diverse working environment.

Roles and responsibilities / what will the jobholder be expected to achieve?:

Management of Private Office core duties

  • These include handling of letters, managing stationery, dealing with routine correspondence, providing administrative support for events hosted by the Ambassador and Deputy Head of Mission.

Collaborative support to Head of Private Office

  • Administrative support and general assistance to the Head of Private Office.

Profiling and monitoring of Private Office budget

  • Accurate and active forecasting, profiling and monitoring of Private Office and comply with audit standards.

The successful applicant will be a fluent Japanese speaker, with a good operational command of English. The Private Office is a busy, collaborative environment and an important hub of cross-Embassy team working. The successful applicant will be persuasive (engagement with senior external contacts), good on detail (oversight Private Office budget), collaborative (working closely with other Private Office colleagues and all teams across the Embassy), and someone with good initiative, determination and willingness to take on responsibility. The position offers considerable scope for personal development.

The successful candidate must be able to demonstrate the following key skills or experience:

  • Core administrative support skills and experience, and IT skills are required. Organisational ability and people-handling skills are also important.
  • The successful applicant will have good written and oral communication skills and budgeting skills to profile and monitor Private Office budget
  • High aptitude with Microsoft Office suite
  • Assistant experience
  • Level of language required: Business English, Fluent Japanese
  • Strong delivery skills
  • Good time management
  • Budget management
