Main purpose of job:

To assist the work of the Human Resources Team at the Regional Hub, responsible for supporting staff at all British diplomatic missions within the South Asia Afghanistan Directorate (SAAD) Region. As HR enquiry point, to provide a quality and timely response to enquiries from staff across the Region.

Roles and responsibilities: 

HR ENQUIRIES (50%) -  

  • Respond to HR related enquiries from staff received through email, telephone or other ways, following appropriate procedures as set out in enquiry level and the Service Level Agreement.
  • Monitor HRD policy and guidance & ensure that enquiry handling procedures mirror these and cascade knowledge to other team members. Constantly seek to review and improve service by identifying areas for development in guidance and reporting feedback from customers to managers.
  • Manage and organise the enquiries log and ensure enquiries are appropriately handled according to their urgency and subject matter within relevant SLA targets. Record relevant data so that accurate MI is captured.  

HR ADMINISTRATION & MIS (20%) –

  • Ensure the HR Database for the employees in SAAD region is updated
  • Creation of IDs (on HR software - Prism) on joining, ending employment on departures, and changes in employment details during their tenure as per the available details within defined Service level agreements.
  • Prepare monthly KPI and Metrics report
  • Sharing relevant payroll data within defined timelines
  • Maintain and update all relevant trackers as required 

OTHER HR SERVICES (20%) –

  • Sending welcome email to new joiners
  • Tracking and sending probation reminders, contract end notifications to the relevant stakeholders
  • Issuing probation confirmation letters, contract extension letters, letter of appointment, employment certificates and other reference letters.
  • Completing end to end exit formalities of the existing employees

OTHER ADMINISTRATIVE SUPPORT (10%) –

  • Co-ordination of meetings with posts / team, sending out discussed agenda, preparing minutes
  • Provide administrative support and assistance to HR Manager on projects/ analysis & report.
  • Support recruitment and payroll as and when required 

Language requirements: 

Language: English 

Level of language required: Fluent (Both written and spoken)

Other skills / experience / qualifications:  

Education:

  • Graduate/Post Graduate in Human Resources is preferable 

Experience & Skills: 

  • At least 3+ years of relevant work experience in Human Resources
  • Experience in shared service is desirable
  • Outstanding interpersonal & both oral and written communication skills with the ability to work with stakeholders at all levels.
  • Proficient IT skills including Microsoft Excel, PowerPoint & word.
  • Self starter with an ability to handle a large volume data.
  • Articulate, level headed with very good customer service orientation.
  • Ability to work effectively independently as well as a part of a team.
  • Able to use judgement to prioritise work.

For British High Commission (BHC) candidates, the Local Staff BHC Terms & Conditions will apply. 

For other than BHC candidates, salary will be INR 37285 per month together with a 12% provident fund and 6% Special Allowance.
