An exciting opportunity has arisen for the role of Deputy Corporate Services Manager (DCSM) in the Consulate General in Istanbul. The British Consulate General in Istanbul is part of a world-wide network representing British political, economic and consular interests overseas.  Led by the British Embassy in Ankara and it is part of a Turkey-wide network, which also includes five coastal posts (Izmir, Marmaris, Antalya, Bodrum and Fethiye).

The Network’s Corporate Services Team is central to ensuring the Turkey Network is run with efficiency and innovation. It covers a wide range of corporate issues including finance, protocol, estate management, business hospitality and human resources. In Istanbul, the team is led by a Corporate Services Manager (CSM), supported by the Deputy CSM. The platform in Istanbul is large (around 250 employees in total) and diverse, hosting 7 different British government departments and agencies.

The Deputy CSM supports the Corporate Services Manager in Istanbul to lead and manage a team of 35 people to deliver on the full range of corporate services.  The DCSM will have particular responsibility for overseeing and delivering on protocol, finance and business hospitality, and will be responsible for deputising for the CSM when necessary. This is a fast-paced and diverse role including both hands-on delivery and management/delivery through others. Resilience, flexibility, good people and management skills combined with a positive outlook to change and adaptability are essential.

Main Duties and Responsibilities:

Hands on delivery and managing others, ensuring efficient delivery of key corporate services, with a particular focus on finance, protocol and business hospitality.

    Management of finance and contracts, with the support of 2 staff:

    • Efficient, timely oversight and preparation of management information for submission to HQ;
    • Robust supplier and contract management, sometimes on large and complex projects;
    • Financial administration duties including accounting and checks, processing claims, and managing P2P (purchase to pay) processes for the Consulate.

    Oversight and delivery of protocol and logistics, with the support of 2 staff:  

    • Leading on customs and protocol related matters, including VIP visits;
    • Building, maintaining links and liaising with key stakeholders, including the Turkish Ministry of Foreign Affairs and the local authorities, in support of official business needs;
    • Logistical support to the Consulate, diplomatic staff and families through the Customs & Protocol team.

    People Management and leadership:  

    • Direct line management responsibility for three junior officers and countersigning/quality assurance of six others; leading small teams and individuals on the above issues to ensure timely and high quality delivery;
    • Key member of the Corporate Services Leadership, including motivating, empowering and building the capacity of the wider team, supporting team morale and taking responsibility, with the CSM, for directing staff to priority issues.

    Other:

    • Dealing with enquiries from and assisting staff on administrative procedures;   
    • Deputising for the Corporate Service Manager as and when necessary;
    • Any other duties as assigned by the Corporate Services Manager.
    • Fluent English and Turkish communication skills (written and spoken), C1 level or above*;
    • Educated to degree level and/or previous administration/corporate management experience in an office environment for at least 5 years, with a strong focus on customer service and track record of delivering results to a high standard;

    • Experience in dealing with finance and procurement in an international environment;

    • Excellent interpersonal skills and communication skills with people at all levels and of diverse backgrounds, with track record of line management and an ability to manage and motivate team members;

    • Strong organizational and time management skills, with good attention to detail and an ability to prioritise own workload and meet deadlines, without compromising the quality of work or customer care;

    • Flexible, resilient under pressure and decisive;

    • Advanced user of Microsoft Office Applications;

    • Ability to travel occasionally within the region or internationally as needed (approximately 5% of the time);

    • Willingness to work additional hours as necessary.

    • Contract management experience and/and understanding of key protocol issues in diplomatic settings.

    This is a full-time permanent contract, for 5 working days (36.25 hours net) per week.

    The monthly salary for this position is 2,602.41 USD gross, Executive Officer (EO) level. Please note that staff members are responsible for paying any income tax required by local law.

    The successful candidate will be subject to professional background check, security clearance and a probation period of 2 months.
