Estates

Main purpose of job:

Management of the estate and estate team including staff and contractors.  Lead estates projects, operations and suppliers management to ensure a safe and compliant estate for the One HMG platform.  Responsible for health and safety policy and operation at post.

 

Roles and responsibilities:

  • Estates Management 40%
    • Lead and manage local estates teams and operations, in line with the local staff charter.
    • Create and maintain a proactive maintenance schedule for Embassy, Residence and ten properties, in line with PCA requirements.
    • Monitor and forecast estates budgets.
    • Update local leadership team on estates matters, escalating to the corporate services manager as required. 
  • Governance 25% 
    • Plan, measure and monitor estates performance at post against set targets.  Produce reports for quarterly leadership committees such as PMC.
    • Ensure that a proactive risk management approach is taken to all work, ensuring compliance with local and UK standards.
    • Respond to any audit and assessment requests, ensure compliant record keeping.
    • Ensure Estates procurement is effectively managed and compliant with global policy, working with the Procurement Hub and Corporate Services Manager.
    • With regional procurement hub, tender, manage and oversee all Estates suppliers to ensure service level agreements are met.
  • Technical 10%
    • Plan, manage and oversee Estates projects, preventative and reactive maintenance using the forward maintenance register and global account managers accordingly. 
    • Provide local technical expertise, escalating to technical works officers where required.
    • Maintain high (preferably 100%) PCA scores. 
  • Housing 10% 
    • Oversee the sourcing of properties, lead negotiations and make recommendations to the post housing committee (PHC).
    • Play active role in PHC responding to all Estates queries and concerns.
    • Ensure all accommodation, including Residence, is fit for purpose, and well maintained, to UK H&S standards. 
  • Health & Safety 10%
    • Ensure the post maintains a safe, compliant (to UK and local standards) working environment for all staff and UK based families. 
    • Oversee health and safety activity at post, owning policy and monitoring standards.
    • Work as post health & safety officer, running post H&S committee.
    • Lead on sustainability plans at post to meet global targets. 
  • Team Support 5% 
    • Support other members of the corporate services team as required.
    • Participate in post crisis activity.
    • Deputise for the corporate services manager during periods of absence

Essential on arrival: At least 3 years estates management or facilities management experience, as well as experience in working with contractors and in managing people.

Resilient; able to deal with pressure and work flexibly to deal with competing demands.

Level of language required: Fluent written and spoken English and Spanish is necessary

Candidates must be eligible to live and work in Peru in their own right. The successful candidate will be subject to a security clearance and professional reference checks. Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.

Position is partially working from home currently, but the successful candidate would be expected to visit the Embassy or Ambassador’s residence and UK based staff accommodations when needed.
