The British Embassy in Brussels is part of a world-wide network, representing British political, economic, consular and prosperity interests overseas and is now looking for an Event Supervisor.

The Event Supervisor will supervise events from first enquiry to  invoicing of events under the supervision of the Deputy Residence manager.

Roles and responsibilities  

  • Supervision of the entire cycle of an event:
  • Close liaison with event organisers on teams and in person
  • Presenting options of types of events possible
  • Diary management: handling enquires/making bookings/sending booking forms
  • Front of house presence, meeting and greeting guests
  • Printing menus/place cards/table plans
  • Liaising with kitchen staff on menu choices
  • Recording consumption for invoicing purposes and preparation of internal invoices
  • Excellent communication skills with fluency in both spoken and written English
  • Detail oriented with a solution oriented mind-set
  • Experience of diary management
  • Good interpersonal skills with the ability to communicate at all levels
  • Excellent time management skills
  • Ability to work under pressure and willingness to work unsociable hours

  • Proficient in MS Excel
  • intermediate spoken French language skills

This is a full-time permanent contract for 5 working days (36.25 hours net) per week. The monthly gross salary for this position is € 4004.53, AO level. In addition, we offer an extensive salary package, which includes a 13th month, luncheon vouchers, pension scheme, optional hospitalisation insurance (subject to monthly employee contribution), reimbursement of public transport and a lot more. We offer more days of annual leave than the Belgian requirements.

This is a permanent full-time position, where you will be expected to work a maximum of (36.25 hours net) hours per week (5 days over 7). The nature of the work within this busy Residence means that you will be expected to demonstrate flexibility in your hours and timetable of work - often at short notice. This may include shift working, variable hours, weekend and bank holiday working. Time off in lieu (TOIL) will be granted for additional hours worked at the discretion of the Residence Manager.

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

Staff recruited locally by the British Diplomatic Missions in Belgium are subject to Terms and Conditions of Service according to local Belgian employment law.

The successful candidates will be subject to professional background checks and security clearance.

Passport: officers are expected to be in possession of a passport due to the possibility that they may be asked to undertake business travel.

Visa/work permit requirements: candidates must currently hold the independent right to live and work in Belgium and be prepared to ensure that right remains throughout the scope of the contract.
