Summary:

The Executive Assistant position supports the Consul General in their leadership of the Consulate-General both in strategic planning and execution of the business plan.   The successful applicant will report directly to the Consul General (CG) and work closely with all teams.  The Executive Assistant will be responsible for planning the Consul General’s schedule and activities, co-ordinating with other teams and other offices in the network, managing events and visits and representing the Consul General with external contacts.

Responsibilities:

  • Coordinate cross-team activity when the CG is out, maintaining information flow and prioritisation across the Consulate office, representing the CG’s interests at Consulate meetings as appropriate.

 

  • Occasionally attend evening and early morning events, including sometimes helping to staff events: help with event Proactively and reactively manage and trouble-shoot all aspects of the CG's calendar including forward programming, regular events (Christmas cards, key stakeholder events, teleconferences), use of the Residence (liaising with Corporate Services staff), and day to day diary and scheduling.

 

  • Tactical planning to meet the Consulate General's business objectives, including annual, quarterly and monthly budgeting in line with audit requirements (working with Corporate Services and other budget holders); visit planning by CG to consular patch, co-ordinating input to the quarterly reports, and special projects as they arise.

 

  • Arrange detailed outward travel itineraries for the CG, including scheduling appointments with high-level contacts, working with other teams as appropriate.

 

  • Provide co-ordination support on incoming visit programmes, helping to project manage input from internal and external stakeholders and producing briefing materials

 

  • Support Political, Press, and Public Affairs (PPPA) section in administration of the Marshalls Scholarship Programme such as: scheduling meetings, room / guest bookings, producing paper pack, coordinating travel logistics, and reimbursement of expenses, set up, greeting and circulating guests, closing down etc with event lead.
  • Provide the following support: prepare and reconcile monthly corporate credit card account and expenses processing for CG, accurately and submitted for approval on time; social secretary functions including issuing invitations for events, monitoring expenditure, liaising with caterers; maintaining the Consulate contacts database; handling correspondence, including email, and phone enquiries, drafting acknowledgements and other letters.
