Reporting to the British Embassy in Washington, they work to enhance the UK-US relationship across a full range of objectives including: trade and investment; supporting British nationals in difficulty; enhancing UK prosperity; press and public affairs; security cooperation; reporting on political and economic development; supporting UK Overseas Territories, and building relationships with decision-makers and opinion formers. Purpose and Objectives 

The Consulate General in Miami, which covers Florida, Puerto Rico and the US Virgin Islands, is looking to recruit an Executive Assistant to the Consul-General (CG).  This is an exciting opportunity to join a small team in a dynamic role, performing critical secretarial and administrative tasks for the Consul General and undertaking diverse cross-cutting functions supporting the Consulate General as a whole.  The role has potential to contribute across the entire work of the Consulate and to drive some individual project work in pursuit of wider Consulate objectives.

Duties and responsibilities

  • Management of all aspects of the CG's calendar including forward programming, travel, and day to day diary scheduling. Reconcile CG expenses in line with audit requirements.
  • Coordination of internal meetings by confirming attendance, booking rooms, participating, taking notes and circulating action points. Maintaining and circulating a Forward Look document. Assist Consulate General business planning by coordinating input to quarterly reports and special projects as they arise.  
  • Event management, by compiling guest lists, issuing invitations, coordinating RSVPs, managing contractors, booking in visitors, monitoring expenditure and coordinating evaluation.  
  • Arrange detailed visit programmes for the CG and incoming senior visitors by scheduling transport, accommodation, appointments with high-level contacts, working with internal and external stakeholders as appropriate.
  • Lead officer in briefing material for VIP visits including Ministerial level. Ensure content is accurate and of the quality required that will convey key points and knowledge to prepare the Visitor for meetings in a timely and effective manner.  
  • Support Political and Communications Team in initiating, managing and delivering policy projects in pursuit of UK objectives for Florida, Puerto Rico and USVI. Assist in the writing of bids for project funding. Help evaluate each project, keeping measurable information to support outcomes and lessons learned.
  • Participate in crisis training and exercise and be part of the Consulate-wide team response in the event of a crisis, leading on log keeping.
  • High school diploma with some college or Bachelor’s degree preferred
  • Three to five years of relevant work experience, preferably including working directly with the public, with some high-level contacts, and as part of a fast-paced, multi-faceted team
  • Strong team player who enjoys working with others and is able to integrate fully into a wider network-based team
  • Proficiency in using internet applications, social media and the Microsoft Office suite
  • Strong written and oral communications skills, including the ability to communicate to all levels, inside and outside the office, accurately 
  • Good understanding of the challenges and sensitivities of working in the world of government and politics
  • Expert in prioritisation, organisation, multitasking and time-management skills and the ability to remain calm and professional under pressure
  • Initiative, determination and responsibility
  • Superior problem solving skills, common sense, and able to exercise good judgement in the face of conflicting priorities
  • Appreciation and understanding of multicultural Britain
