The British High Commission in Wellington is part of a world-wide network of 270 Posts, representing British political, economic, and consular interests overseas. We are currently looking to recruit an Executive Assistant to the Deputy High Commissioner based in the British High Commission in Wellington.


The main purpose of the Executive Assistant is to provide high quality organisational support to the Deputy High Commissioner (DHC).


Position responsibilities include:

Diary Management

  • Manage all aspects of the Deputy High Commissioner’s diary.
  • Arrange meetings/breakfast/lunches for the DHC with contacts in Wellington and across New Zealand.
  • Co-ordinate with the High Commission team, residence manager and chauffeur as necessary to reflect the DHC’s personal and representational needs.
  • Organise internal meetings, collate and distribute briefing and information ahead of meetings, liaising with the British Consulate in Auckland, British High Commission in Canberra, and the Foreign and Commonwealth Office in London and other posts when necessary.
  • Screen all invitations and in consultation with the DHC accept/decline accordingly.
  • Arrange for the DHC to undertake representational duties in lieu of the High Commissioner.

Travel

  • Book all domestic and international flights and accommodation using the travel agency nominated by Corporate Services or on line. 
  • Pull together and manage programmes for domestic or overseas travel. 

Finance

  • Routinely review, profile and account for DHC’s travel, business hospitality and representational spend within advised budgets and ensure Corporate Services Manager is kept updated with anticipated variances;
  • Manage the DHC’s Corporate Credit Card in accordance with Foreign and Commonwealth Office procedures.

Correspondence/General

  • Typing from manuscript and audio, opening mail/registering documents
  • Manage high volume of emails and telephone calls on a wide range of subjects (from internal and external contacts and the general public);
  • Meet and greet visitors;
  • Be familiar with the process of setting up video conferences and arrange when required.
  • Scan / photocopying documents;
  • Draft letters;
  • Minute taking;
  • Backup cover for the High Commissioner’s EA.
  • Manage logistics for visiting VIP’s (i.e. visiting Ministers)
The successful candidate should have high quality professional Executive Assistant experience at senior level. S/he should be very proficient in use of Microsoft office suite of applications. S/he should also have an excellent written and oral communication skills.

The jobholder will work 25 hours per week. Part time working pattern is subject to agreement with your line manager. Some flexibility may be required in the absence of the High Commissioner's Executive Assistant. 

The salary is at NZD56,691 per annum based on full time employment (paid out monthly), to be adjusted to reflect actual hours worked, dependent on skills and experience plus superannuation (up to a maximum of 5% of gross salary).

The appointment is part-time and permanent. The formal job description may be subject to amendment in the future.

Appointment is subject to achieving and maintaining a clean New Zealand Police records check and UK security clearance. 

Appointment is subject to a 90 day trial period pursuant to section 67A of the Employment Relations Act 2000.

Open to New Zealand citizens, permanent residents, and partners/dependents of UK-based diplomatic staff currently posted in New Zealand. Employment offers are subject to successful clearance of pre-employment checks. No accommodation or relocation expenses are payable in connection with this position. Candidates must have or be able to obtain work authorisation for New Zealand in order to apply.
