To provide administrative support to the Olympic and Paralympic Team.  To handle correspondence with stakeholder in Japan and the UK.  To lead on logistical support for visitors.  To conduct information gathering and research tasks.  To manage the Olympic and Paralympic Section budget.

  

Roles and responsibilities / what will the jobholder be expected to achieve?:

Administrative support, managing filing system and SharePoint site.  Responsible for routine correspondence and information sharing such as producing monthly newsletter.  This will involve fact-finding, research  and some editorial judgement to draft correspondence and newsletter content.

Logistical support to visits.  Lead on logistics for visits, including planning and on-the-ground support to sports-related visitors including from government and British sports teams.  Will need to be able to develop programme and logistical options and make recommendations as to the best option.

To conduct information gathering and research tasks on behalf of the wider team and London stakeholders and to administer team information such as contact databases, standard briefing materials etc.

Manage the Olympic and Paralympic section budget, working with team leader to prepare yearly budget plans and keeping forecasts up to date during the year.

  • Experience of providing administrative support in a busy environment. 
  • Ability to use Microsoft Office. 
  • Good numeracy.
  • Native speaker/ fluent level Japanese (N1 - Japanese Proficiency Test level).
  • Fluent English with TOEIC score of 800 points or above.
  • Experience of managing a budget

Benefits package includes: 

    • This position can either be based in the British Embassy Tokyo or in the British Consulate-General Osaka.
    • This is a fixed-term role for three (3) years.
    • Working hours: Full time.
    • Salary: 323,000 yen (note: Salary may be reduced due to tax status)
    • Commuting allowance of up to JPY35,000 per month (paid on an actual cost basis)
    • 24 days paid annual leave (calculated pro rata)
