To work with the UK Government Project Team and the Corporate Services teams of the UK Mission to the United Nations and the British Consulate General (BCG) in New York to help deliver the successful completion of the Project to co-locate the UK Mission and British Consulate General (BCG) into refurbished offices in Midtown, Manhattan.

Act as the main point of contact on delivery of all Project issues that overlap the Project Team and UK Mission and British Consulate-General (BCG). This has a particular focus on the BCG office clear-out and re-location move, ICT and AV needs, communications and consultation of staff, establishing services and maintenance arrangements, assisting with financial processes and managing overlap between Project and office operations.

  • Work with the BCG leadership, Corporate Services team and staff to prepare, plan and manage delivery of the office co-location, due at the start of November (planning underway now).

  • Provide advice, research and liaison on local issues, including tax advice, permits, US State Dept and Office of Foreign Mission regulations, accommodation, materials deliveries, building management, local authority requirements, contract awards etc.

  • Support Corporate Services teams in agreeing ICT/ AV requirements and liaise with Project team, London IT Teams and other actors to ensure delivery of these needs within the Project timelines.

  • Liaise with managers, Corporate Services teams and staff to provide communications on the Project progress and impact to staff from the Project; including attending staff meetings at UKMIS and BCG.

  • Attend regular Project meetings to contribute to Project delivery work and provide support to the Project team, including assisting with the Project’s financial processes.

  • Oversee delivery of furniture, fixtures and fittings (eg, signage, artwork, notice-boards etc.) and ICT/ AV kit; including liaising with external suppliers, Corporate Services teams, Post Consultation groups and the Project team on requirements.

  • Work with Corporate Services teams and the building management team to ensure facilities, ICT, security, guarding and other office management functions in the new offices are delivered in line with the needs of the UK Government, UK Mission and BCG, and the Project.

  • Work with Project Team, Corporate Services teams and the building management team to scope, cost, prepare and establish all future service and maintenance arrangements in new offices, with particular leading role after office re-location move is completed.

  • Provide occasional support to consultants appointed to sub-let old offices by facilitating access to the site. After the office re-location move is completed, lead on work to prepare sub-let of old offices.

  • Other ad hoc tasks as directed by the Project Manager and Corporate Service Managers.

There is no direct management of staff or budget. However, this position reports directly to the Project team on key financial issues around the Project, performing a key role in ensuring effective completion of financial processes, including payments, and scoping and costing potential service contracts. Therefore, previous finance experience and resource management is highly desirable.

This role may also assist the Project Team with supervision of contractors on site.



  • At least 4 years work experience in the field/ sectors relevant to this role.

  • Excellent organisation and self-management;

  • Strong communicator and proven track-record in stakeholder management. Must be fluent in English.

  • Adaptable, flexible and energetic; ability to work under pressure to deadlines without losing focus.

  • Excellent customer service and people engagement skills.

  • Strong collaborator and team-worker.

  • Proficient in Windows 10, Microsoft Office (Office, Excel, Word, PowerPoint) and Adobe.

  • Experience of bespoke financial IT systems and ICT/ AV infrastructure useful.

 




  • Project Management, notably managing multiple stakeholders and complex timelines desirable.

  • Office facilities or estate management; office moves/ re-locations; contract management.

  • Financial/ resource management, including purchase orders, accounts receivable/payable, and contracts.

  • Knowledge of New York real estate sector.
