Main purpose of job:

To manage a portfolio of around 25 residential houses for UK diplomatic staff in Tanzania and the Official residence of the British High Commission. Ensure all UK staff are housed in safe, secure accommodation in line with UK Government policy. Lead on relationships with property owners and manage lease agreements. Oversight of the British High Commission estates and technical works teams. Deputy Estate Manager works as in charge of overseeing the work of Estates department employees, manage a team of individuals around 15 employees and be responsible for planning, organizing, and monitoring of the Estates department’s activities.

He or She be responsible to ensure that Estate Team is operating effectively and efficiently while ensuring that the team is performing their jobs well. This can include everything from making sure that UK staff are housed in safe, secure accommodation in line with UK Government policy, Estates projects are completed on scope, Cost, time, and Quality, providing guidance and feedback to employees under estates as they work or complete their daily or routine tasks. This role will deputise for the Estate Manager at the estate including supporting the overall day-to-day running of the estate. You will act as a regular Duty Manager including being the main point of contact for staff and service providers.

Roles and responsibilities

1. Enforcing Health and Safety standards and requirement in the workplace, such as ensuring Estates, Estates Team and Contractors/Service providers works adhere to compliance.

2. Managing employee performance, which includes conducting annual performance evaluations, offering feedback on performance as necessary, modelling work ethic and resolve conflicts between team members.

3. Reviewing budgets, financial statements, and reports to identify areas for improvement or possible risks.

4. Reviewing materials and works requests and make necessary recommendations.

5. Reviewing employee records for accuracy, such as work inspection reports, Property Compliance  Assessment records or Expenses reports.

6. Managing the hiring process of the team members in collaboration with Human Resources Officer including interviewing candidates.

7. Managing operations of the store by overseeing inventory levels of merchandise, highlighting possible areas of improvement and risks including mitigation.

8. Ensuring proper upkeep of the Mission estates including but not limited to Utility, general maintenance, material procurement, vehicles and safety working in collaboration with the Security & Transport team.

9. Managing the annual maintenance and preventive plan in place and coordinate with the Technical Works team to ensure required measures are taken for the upkeep of estates.

10. Engaging and Collaborating with the Technical Works Supervisor (TWS) and the Regional Technical Lead (RTL) in the safe upkeep of the Estates.

11. Participate in wider activities ensuring mission objectives/goals are achieved and perform any other duty assigned by the supervisor or Corporate Service Manager (CSM).
