The British Embassy in Dublin is part of a world-wide network, representing UK political, economic and consular interests overseas.

The Department for International Trade (DIT) has overall responsibility for promoting UK trade across the world and attracting foreign investment to the UK. We are a specialised government body with responsibility for negotiating international  trade policy, supporting business, as well as delivering an outward-looking trade diplomacy strategy.

We are now seeking to recruit a Project administrator and budget co-ordinator to support the DIT team deliver trade services through project administration, budget coordination, event management and information/knowledge management.

Main Duties and Responsibilities:

Project administration across trade services teamteam support, coordinating project plans, monitoring activity and evaluation of outcomes;

Budget Management – Assisting with forecasting, budget monitoring, actual spend and financial compliance ensuring accurate and timely management information is prepared to support team decision making;

Event Management -Design and organisation of business meetings/small scale events to promote trading opportunities between Ireland and UK;

Information/ Knowledge Management - sourcing data, preparing scripts, creating impactful presentations and maintaining databases to support trade services.

  • Assist with budget management by handling financial data, inputting to appropriate systems and managing adjustments;
  • Preparation of budgetary management information based on spend profiles and forecasting;
  • Establishing and maintaining databases and knowledge banks connected to key sectors and geographies;
  • Organisation of small scale receptions, dinners and seminars to connect UK companies with major opportunities in Ireland;
  • Coordinate team schedules, maintain team calendars and support project management by tracking project delivery and evaluating outcomes;
  • Creating of presentations, sourcing data and organising campaign related events.

A minimum of 1/2 years in:

  1. Budget management especially in a trade promotion environment;
  2. Project administration in support of team delivery;
  3. Organisation of meetings, coordinating schedule and small scale events;
  4. Information management, sourcing data, maintaining records and databases and creating presentations.
  • Positive and flexible approach to team work;
  • A self starter, able to work independently and show initiative while operating as part of a wider DIT Ireland team;
  • Excellent communication and presentation skills: written and oral;
  • Excellent organisational and information management skills;
  • Aptitude to analyse and process complex information quickly;
  • Ability to write and produce reports in a fast and paced way.

This is a full-time position, initially on a two year fixed-term contract, 41 hours gross per week, with the possibility of renewal beyond this term.

There will be a requirement to undertake some travel in Ireland and in the UK.  The successful candidate will also be required, on occasion, to work outside normal office hours.

Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Ireland and be prepared to ensure that right remains throughout the scope of the contract. Additional requirements may become necessary pending EU Exit. If requirements change additional eligibility information will be shared during the recruitment process.
