Corporate Services Support

Reporting to the Head of Corporate Services, the Sydney Office and Residence Co-ordinator is responsible for ensuring the smooth running of the Sydney Consulate General and Residence and for co-ordinating the delivery of events and functions held at both premises.

Roles and responsibilities:

To be the first point of contact for resolution of local issues that fall under the corporate services remit in the Sydney CG including, but not limited to: 

  • Management of existing contracts and procurement of new services in relation to event delivery (catering, Audio Visual etc);
  • Proactive management of the Sydney office environment, ensuring safety of staff and visitors and management of office stationery and kitchen  supplies;
  • Advise Sydney staff and line managers on policies and procedures;
  • Finance super-user for Consulate-General, including processing supplier sets up, raising requisitions
  • Health & Safety – ensure FCO health & safety policy, procedures, and systems of work are understood, implemented, supported, and monitored at the office and residential properties in Sydney. 
  • Work with the relevant stakeholders to support the wider mission’s income generation objectives
  • Provide local budget support, including financial profiling, for Sydney FCO local budget expenditure.  Liaise with Finance Officer and Head of Corporate Services as needed to assist with budget management.
  • Support a well-managed security environment at Post by working with staff to ensure that physical and information security procedures are understood and in compliance, escalating concerns or gaps in security to the Network Security Manager.
  • Provide corporate induction to new starters including processing of all paperwork required to set them up on internal systems such as HR, Finance.

Act as residence co-ordinator including:

  • Ensure the Residence and its grounds are maintained to a high standard, including liaison with the Facilities Maintenance contractor and Corporate Services Manager based in Canberra and oversight of the cleaning services provider.  Provide supervision of external contractors at both the official residence and the office and be the main liaison point for the FM contractor and building management;
  • Manage Residence stocks, ensuring they are properly kept and accounted for in line with official guidance.
  • Coordinate the delivery of events/functions held at the British Consulate General and the Residence including: stakeholder engagement (internal & external); logistical support; and event set up/ pack down.  Work closely with teams across the Mission to ensure that functions are delivered to the highest standard.
  • Oversee the associated procurement of goods and services, ensuring they offer value for money and are in line with FCO guidelines. Provide financial updates and advice as required.
  • Excellent oral and written communication skills
  • Prior experience of event co-ordination
  • Sound knowledge of procurement and contract management practices
  • Close attention to detail and excellent organisational skills
  • Ability to prioritise effectively in the midst of conflicting priorities and competing demands and follow through on tasks with limited supervision
  • Ability to interact professionally with key stakeholders at senior levels, both within and outside the Consulate-General
  • Strong Microsoft Office skills, in particular MS excel
  • Clean driver’s licence (from time to time there will be the requirement to move items needed for events/functions between the official residence in Vaucluse and the Consulate General in the CBD

Salary is at $62,473 per annum (paid out monthly), plus 11% superannuation. Flexible work arrangements may be considered. 

Appointment is subject to an AFP records check and UK security clearance.

Open to Australian citizens and permanent residents in Australia.

Staff recruited locally by the British High Commission and its Consulates is subject to Terms and Conditions of Service according to local Australian employment law.
