Main purpose of job:

The British Embassy in Jakarta is part of a world-wide network of 270 Posts, representing British political, defence, economic, trade, and consular interests around the world.  We are seeking a dynamic Corporate Services Officer to manage our day to day Embassy (and to some extent Consulate General) operational in Accounting and Logistics.

The jobholder will have an exciting opportunity to develop himself/herself further utilising Embassy global network, working closely with Indonesian Ministries and agencies as well as UK Ministries and Regional Hubs.  The jobholder must have a professional approach, as well as the ability to communicate in English with clarity, ideally in writing and in person.  The role will involve some domestic and international travels.  The role sits within the British Embassy Jakarta’s Corporate Services team and responsible for managing Embassy business operations.  The role is also to ensure audit compliance, generate operation reports and identify improvement opportunity. 

This is a permanent position however the successful candidate will be offered a 1-year Fixed Term Contract first.

Roles and responsibilities / what will the jobholder be expected to achieve? 

Financial and Accounts Operation (30%)

1. Policy interpretation and providing advice on Finance and Accounts related matters.  Work with other areas to introduce new policies or changes to the existing policy.

2. Managing Embassy Finance and Accounts related activities such as Cash Management, Journal Entries, Account Management, Remuneration, Payroll and other financial and accounts related activities.

3. Maintaining Finance administrative records.

4. Ensuring financial reporting, account management and audit compliance are conducted in a timely and proper manner.

Legal & Contract Management (20%)

1. Managing Embassy contracts and legal matters, in liaison with Honorary Legal Advisor (HLA) and in coordination with Regional Hubs and London.

2. Managing Legal, Contract and Industrial related activities.

3. Ensuring Embassy is operating within the legal parameters and comply with audit requirements.

4. Maintaining Legal administrative records.

 

HR & Operations Management (50%)

1. Becoming HR business partner by providing succinct advice on HR related matters.

2. Managing HR personnel file and its associated activities.

3. Data collection and analysis of the Embassy operations.

4. Managing logistics operations (transport, permits, protocols and export import).

5. Building and maintaining solid relationships with government institutions (Ministry of Foreign Affairs etc), commercial third party suppliers, and internal stakeholders.

  • Min 3 years corporate working experience in top tier organisations;
  • Good understanding of business processes;
  • Strong communication, analytical and reporting skills;
  • Experience in Enterprise Resource Planning (ERP) software and its platform;
  • Proven ability in managing different stakeholders in multicultural environment.
  • English speaking and writing skills
  • Experience in management consulting firm, legal firm, or accounting firm;
  • Bachelor’s degree from reputable university (top tier in Indonesia or international university);
  • Experience in leadership positions (extra-curricular or work);
  • STEM graduate.
