View Vacancy - Chevening and International Leaders Programme Administrative & Financial Assistant
Main Purpose of Job:
To support the Chevening Team in the administration of the promotion, recruitment, interview, and selection stages of the Chevening Scholarship Programme, and also liaising with the Mexican Chevening Alumni Association (MCAA). It will involve as well, logistics for the participation of Mexican delegates to the International Leaders Programme (ILP). The position will require monitoring participation of attendance, logistics of events, liaising with suppliers (eg hotel, venues, catering), booking flights, managing agendas and the budget, and continuing communication with Chevening Secretariat, FCO’s Protocol Directorate, and ILP team in London.
Roles and Responsibilities
- Give support for the administrative and financial processes of the Chevening and ILP programmes (eg PRISM, claims, payments, etc) to maintain healthy level of performance, VFM achieving 100% expenditure;
- Organise logistics (hotel and flight booking, catering, IT and sound equipment) arrangements for the participation of new delegates;
- Confirm attendance of participants and speakers, in collaboration with the MCAA;
- Manage the agenda of networking and special events;
- Monitor and manage local budget to maintain healthy level of performance by giving monthly updates of the budget profile and matching real expenditure against profiled expenditure;
- Give advice to the team on administrative processes;
- Give advice to the line management on monthly expenditure against their budgets;
- Identify proactively any deviations on project execution based on budget baseline;
- Assure actions are taken to solve any under or over spend against project profiles;
- Draft monthly and also events’ reports of the real expenditure and results of the events;
- Keep continuing communication with the Chevening Secretariat, MCAA, FCO’s Protocol Directorate, and ILP team in London

- Relevant experience in event management.
- Relevant experience in budget and financial management.
- 38 conditional working hours a week allowing employees to work flexibly in order to encourage a better work/life balance, 8:00 – 4:30 from Monday to Thursday and 8:00 – 2:00 on Fridays.
