Length of Contract: 2 years (renewable)

Main purpose of job: CSSF in a Joint Fund that delivers NSC objectives through cross-departmental collaboration. Pakistan CSSF is one of the most integrated HMG delivery platform across the globe with 6 departments working together to deliver programmes.

Given the integrated nature of the programme, the job holder is expected to be a good multi-tasker and be able to work with colleagues across the mission on admin, logistics and programme management tasks.

Roles and responsibilities / what will the jobholder be expected to achieve:

Programme administration and logistics support to programmes (70%):  

-Provide administration support to process NOCs, prepare travel risk assessments (TRAs) etc.

-Provide logistical support to programme visitors for booking flights, airport transfers and accommodation, briefings, travel and security access to the British High Commission in Islamabad.

-Organise programme meetings and workshops (minutes, connectivity, room booking, invitations and RVPs).

-Support the recruitment and induction of new staff.

-Support programme teams to organize the logistics of Annual Reviews.

-Lead the administration of three programme Working Groups, by participating regularly, taking minutes and promptly sharing with the members.

-Ensure that programmes files comply with information management policies.

-Organise programme monitoring missions

-Provide basic research and analytical support to programme manager in meeting corporate return requests and other core programmatic results work

-Where required, provide financial admin support on requisitioning, invoice processing, Hyperion etc.  

Programme administration and logistics support to the CSSF cross-cutting team (30%):

-Lead on CSSF team’s telephone tree and annual leave tracker

-Lead on the logistics for L&D opportunities for the CSSF team (e.g. in-house trainings/workshops)

-Organise monthly Operational and quarterly Strategic Boards (minutes, connectivity, room booking, invitations and RVPs)

-Maintain guidance notes for CSSF Pakistan and CSSF core briefs

-Maintain and update distribution lists

-Liaison with Corporate Services to ensure CSSF office space (including ensuring the right furniture and equipment for the staff, overseeing any space changes/moves) is managed well.

 

Essential on arrival:  Bachelor’s degree, 2 years of office management experience, exceptional MS Office skills including Word, Excel and PowerPoint.

4 years of office management experience, demonstrated advance Excel skills.
