Residence Coordinator

The British Embassy in Hungary is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a Residence Manager to Manage the British Ambassador’s Residence, including Residence events, staff and associated logistical arrangements.

Main Duties and Responsibilities:

  • Events management – Delivery of small events at the Residence, both during the day and at evenings, including managing guest lists and invitations, managing contacts, menus, supervising event delivery and ensuring the appropriate levels of staffing at receptions and events. For medium/large, high profile events, work closely with the Embassy’s Events Officer in a support role to manage logistical arrangements at the Residence;
  • Stewarding responsibilities and staff management – Leading service at events and managing serving staff, meeting and greeting visitors to the Residence and serving refreshments; managing the small Residence Team to ensure staff carry out their roles and responsibilities in an efficient and effective manner, arranging for additional casual staff as required;

  • Resource and site management - supervising the expenditure related to events management at the Residence and liaising with both internal and external contacts to ensure value for money, managing suppliers and ensuring appropriate stocks are maintained; First point of contact for health and safety issues at the Residence, including housekeeping, food hygiene, first aid and fire safety.

  • A minimum of 2 years experience of managing a team in an events management role;
  • Experience of stewarding and serving at dinners and events;
  • Strong oral and written skills in both English and Hungarian are required;
  • A sound working knowledge of Microsoft Office applications (Word, Excel, Outlook and Explorer);
  • Evidence of strong organisational, interpersonal and communication skills, with the ability to deal with a wide range of stakeholders is essential;
  • Demonstrate excellent customer focus and a strong focus on delivering results;
  • Evidence of strong skills in people management and the ability to motivate and lead a team;
  • Ability to work flexibly, depending on the needs of the Ambassador and Embassy team;
  • Availability to work flexible hours if required.
  • Experience in working and managing budgets and a range of contractors, ensuring they deliver on time and on budget to the required specification;
  • Event management, including effective budget forecasting and monitoring;
  • Experience of Residence management would be an advantage;
  • knowledge of database systems;
  • Knowledge of the Oracle financial management system (or similar) with experience of requisitioning.

This is a full-time position of 5 days (35 hours net per week) for a two year fixed-term contract which may be extended by a mutual agreement.

Working hours are flexible and staff are entitled to time-off-in-lieu for extra hours worked.

The successful candidate will be subject to confirmation of a background check and security clearance. You must have pre-existing work authorisation for Hungary in order to apply.
