Main purpose of job:

The UK regards ASEAN as one of the most successful and significant economic, cultural and political multilateral groupings in the world. For many years the UK has developed its relations with ASEAN member states directly – for example by maintaining an Embassy in all 10 capitals – and also via an Embassy accredited to ASEAN in Jakarta. This engagement is on a steep upward trajectory, as UK interest and activities across Southeast Asia increasingly find expression, and reinforcement, through interaction with ASEAN. With more intensive engagement with the region, the UK will have more ASEAN-related programmes which will be funded by the UK Government.

The British Embassy in Jakarta is looking for an organised, suitably qualified and professional Personal Assistant with excellent prioritisation and time management skills. The successful candidate will be proactive, have good communication skills in English and an ability to establish excellent working relationships. The candidate will also need to be flexible and be able to support the rest of the team. This is an excellent opportunity for someone looking to gain experience from one of the world’s leading foreign services in engaging one of the most important blocs in the world: ASEAN.


Roles and responsibilities / what will the jobholder be expected to achieve?:

  • Full secretarial and administrative support to the Ambassador, e.g. diary and inbox management, letter drafting. 
  • Development of programmes for visits across South East Asia, including all travel, media and visa arrangements. 
  • Liaison on VIP visits to the ASEAN Mission, liaising with others across the British Embassy and ASEAN missions to ensure smooth planning and running of visits.
  • Assisting the ASEAN Team (upcoming UK Embassy to ASEAN) across a broad range of emerging political issues when required, and supporting the Embassy’s extensive social and corporate activities.



-       At least three (3) years’ experience in a Personal Assistant/Secretary role.

-       Excellent administrative skills, prioritisation and organisational skills.

-       Proficiency in MS Office applications, use of email and the internet.

-       Fluency in written and spoken English and an ability to draft a wide range of correspondence.

-       Good interpersonal skills, able to work with people of different levels and background.

-       A self-starter, able to work independently and on their own initiative to deliver high quality work to tight deadlines.

-       Extensive and excellent understanding of ASEAN and multilateralism

-       Experience in diary and visit management, ideally with an international organisation
