Main purpose of job:

To support the High Commissioner and her team, managing the diary and liaising with senior level contacts and the public with a high level of customer service and positively representing the UK in Seychelles.

The British High Commission is looking for a hard working and well-organised person to join our busy and vibrant team. The successful candidate will need strong organisational skills as the main components of the role will be managing the High Commissioner’s busy diary and overseeing some aspects of the running of the official Residence (usually working from the Residence one day a week and the office at other times). Strong IT skills will also be important to support the High Commission team, including maintaining and using the High Commission’s contacts database and using the FCO’s computer system and network.


Roles and responsibilities / what will the jobholder be expected to achieve?:

Personal Assistant to the High Commissioner

  • Diary Secretary: Managing the High Commissioner’s busy diary. Book appointments, update calendar, monitor invitations for HC.  Issue  invitations for events. Update Events Calendar.
  • Receptionist: Responsible for front of house liaison at office and Residence (meet and greet, answer phones)
  • Line Manage the Driver. Answering phone calls, providing basic information and taking messages            
  • Strong IT skills will also be important to support the High Commission team, including maintaining and using the High Commission’s contacts database and using the FCO’s computer system and network.

Team Support

  • Complete gift and hospitality register for HC. Assist in performing IT Backups.  Assist in General Office Management.
  • Deputy Dip Bag custodian: Receive and prepare dip bags in custodian absence following latest FCO guidance.
  • Arrange and co-ordinate with DHL for pick up
  • Distribute items received and keep log 

Residence Management

  • Overseeing some aspects of the running of the official Residence (usually working from the Residence one day a week and the office at other times).
  • Manage the day to day functioning of the Residence to a high standard of efficiency and professionalism.
  • Draw guest lists for Residence events and confirm list to security. Assist in Planning menus.
  • Assist with purchasing for Residence.
  • Maintain Residence Handbook & oversee bookings for official events at the Residence, liaising with Events Manager.
  • Book, brief and oversee serving staff for official functions (supported by Events Manager);
  • Ensure the smooth running of the house as a home to support the High Commissioner.
  • Oversee cleaning requirements for the Residence and line manage Housekeeper. 
  • Strong organisational skills. Experience in managing own workload with minimal oversight – a self starter
  • Office IT skills
  • Confidence, flexibility and ability to cope under pressure and with changing priorities.

 

  • A-level education
  • Previous PA/office manager type experience
  • Event Management (helping with events such as official receptions)
  • Driving Licence would be an advantage
