Main purpose of job:

This responsible role requires someone comfortable with managing budgets and people. The Corporate Services Manager will run the British Embassy’s Corporate Services and lead on Human Resource matters, supporting the professional development of the whole team. The successful candidate will oversee the Embassy’s operating budget and directly line manage three members of staff and countersign for three. You will require strong organisational and management skills.

The British Embassy is looking for an exceptional, well-organised and efficient person to join our busy and vibrant team to lead on the management of our office in Abidjan. The successful applicant will be a team player, willing to adapt and support colleagues and the wider work of the Embassy as required.

Roles and responsibilities:

Manage the Embassy’s Corporate Services:

Financial Management – 50%

Prepare and manage the  Embassy’s budget, signing off monthly accounts and reporting regularly to the Ambassador and Deputy Head of Mission, identifying and highlighting pressures, as well as any projected underspends. Preparing post’s annual budget including forecasting expenditure. Play a proactive role in improving and streamlining post practices in line with FCO standards by identifying and implementing procedures to reduce cash transactions and increase electronic payments; ensure post remains fully audit compliant in processing payments and cash management.

Estate Management – 30%

To lead on ensuring the Embassy is run in compliance with UK and FCO Health and Safety regulations. Keep the maintenance schedule for estates, assets and equipment updated, review contracts and ensure value for money; act as first point of contact for all estates issues in the Embassy and diplomatic properties.

HR and line management - 10%

Lead on Human Resources at post, encouraging a culture of continuous learning and development, updating the terms and conditions of service for locally engaged staff, ensuring staff are aware of and understand FCO HR policy. Line management responsibility for the team of drivers,  ensuring a high quality service is provided,

Work with the Learning and Development Champion to maximise training opportunities. Ensure accurate staff records, plan leave calendar and provide support for recruitment campaigns.

Administrative and IT support – 10%

Act as Information Management Officer & Knowledge & Information Management Lead. Assume day-to-day responsibility of IT systems management. Oversee IT and office electrical systems, coordinate equipment maintenance and fault resolution. Maintain IT inventory and train new staff on FCO IT systems, and office equipment. Cover for PA/HMA & DHM during absences, including responding to general enquiries and providing consular information.

Liase with our regional resource hubs on security, HR, IT, finance and maintenance, and occasionally consular matters.

Line management for Embassy drivers. Countersigning manager for 3 Residence staff

Responsibility for cash and account management

 


  • Excellent customer care/people management skills; ability to respond to a range of customer needs and cultivate strong local relationships.
  • Experience in managing staff and budgets.
  • Confidence, flexibility and ability to cope under pressure and with changing priorities.
  • Experience of working in a diplomatic mission or for an international organisation.
  • Computer literacy in Microsoft Office.
  • Accountancy skills
