View Vacancy - HK - Executive Assistant to Director-General Trade & Investment A2(L)
Main purpose of job:
This is an important and dynamic administrative role for an exceptional individual in the Department for International Trade (DIT), supporting the Director-General Trade & Investment and the team to deliver the Hong Kong Trade Plan.
The successful applicant will play a key role in providing secretarial and administrative support primarily to the Director General Trade & Investment, and contributing to the smooth operation in the office as part of the Operations team.
Roles and responsibilities/what will the jobholder be expected to achieve?:
Secretarial and administrative support to Director General (60%)
Manage diary, arrange travel, schedule meetings and teleconferences, handle and escort visitors, prepare official correspondences, maintain contact databases, and reconcile expenses
Office operations (30%)
Act as the first point of contact for phone and email enquiries, manage and update contact database, maintain an effective filing system, serve as the representative and/or champion for any operational initiatives, provide assistance on reports and presentations, coordinate venue bookings, support the wider team during visits and events.
Procurement (10%)
Develop and apply a good understanding of budgetary rules, handle team procurements, keep accurate expenditure records, and provide assistance on budget management and reporting.
- Higher Diploma or above in any discipline
- Minimum of 2+ years of relevant full-time work experience
- Advanced Microsoft Office skills particularly in the use of Excel and Word
- Excellent administrative and organisational skills, with the ability to deliver high quality work with pace
- Exceptional interpersonal and language skills with professional demeanour
- High self-motivation, a flexible and resilient attitude, proactive and able to work independently
Language Requirements:
- Native/Highly proficient in written and spoken English
- Native/Highly proficient in spoken Cantonese
- Proficient in written and spoken Chinese
- Experience in secretarial or administrative work
- Understanding of budget management
