Corporate Services Support

Main purpose of job:

This is an interesting and varied part-time role (20.5 hours per week) in the Corporate Services Team (CST) at the British Consulate-General in Hong Kong.

It is an excellent opportunity to develop transferrable skills in competences such as leading and communicating, collaborating and partnering, managing a quality service and delivering at pace.

The position requires a pro-active, practical and hands-on approach to ensure functions and processes are efficient, effective and represent good value for money.

Roles and responsibilities / what will the jobholder be expected to achieve?:

Logistics

  • Provide clear, up-to-date guidance and logistical support to UK based diplomatic staff arriving / departing Hong Kong (including on, but not limited to: visas, passports, accreditation and freight).  Draft and issue any correspondence required to support these processes.
  • Update, every six months, the FCDO Geographical Expenditure Guide for Hong Kong.

Contract Management

  • Conduct, in collaboration with the British Council, annual contract re-tender exercises to identify marker hotels and a preferred airline for the Consulate.
  • Act as primary point of contact at the Consulate for hotels and airlines, building strong working relationships with key suppliers.

Procurement

  • Work closely with the Community Liaison Officer at the Consulate to facilitate payment of education / transport fees, and handle other formalities, for UK based staff arriving in Hong Kong with family.
  • Manage the invoicing and payment of various Consulate accounts, ensuring compliance with the FCDO purchase to pay process. 

Induction

  • Work closely with the CST HR team to organise quarterly staff inductions at the Consulate, consistently seeking feedback on, and implementing improvements to, the induction process.

Corporate Services Support

  • Provide administrative support to the Head of Corporate Services and the Corporate Services Managers, including assisting with ad hoc projects and new initiatives.
  • Provide resilience support / cover within CST. 

Other

  • Contribute to wider activities at the Consulate through active involvement in a range of staff committees.

The British Consulate–General provides a number of learning opportunities for staff and also actively encourages them to undertake self-development.

This is a part time role working 20.5 hours a week. The expectation is the incumbent will work/spread these hours over 5 days a week. 

  • Fluent in English - both written and spoken.
  • Strong communication and organisational skills.  
  • Proficient in Microsoft Office applications.
  • Corporate services/HR experience and / or relevant qualifications.
  • Previous experience working for the UK government or other international organisations.
  • Fluent in Cantonese.
