The United Kingdom’s Joint Delegation to NATO (UKDel NATO) is the vital link between the UK Government and the North Atlantic Treaty Organisation. Its principal roles are to promote British interests in NATO and to keep UK Ministers and Government Departments informed about NATO discussions and is now looking for a Diary Secretary to Permanent Representative.

The main responsibility is to run the diary of the Permanent Representative (PermRep) and to assist in the smooth running of the PermRep’s outer office, by providing secretarial and general office support to the PermRep and other members of the delegation’s Senior Leadership Team. You will be a confident and calm colleague who can work independently in a high profile, fast paced environment. Flexibility, calmness under pressure and discretion are required at all times.

Main responsibilities will include:

  • Manage the diary of the PermRep;
  • Manage the social diary requirements of the PermRep;
  • Provide typing support to the PermRep as required;
  • Assist with the escorting of visitors calling on the Delegation;
  • Organise the PermRep’s travel bookings;
  • Provide telephone and message support to the outer office staff as necessary;
  • Book meeting rooms and assist with their preparation and dismantling;
  • Provide general office support as required, including scanning, photocopying and the indexing of documents;
  • Book VTC facilities as required;
  • Assist with the incoming and outgoing correspondence.
  • Fluent English (both oral and written);
  • Have proven previous office experience, preferably at a senior level, and able to deliver results;
  • Excellent communication skills;
  • Strong IT skills;
  • Enjoy working in a team;
  • Open and flexible approach, drawing on the skills and experience of others to improve results;Be prepared to work late on occasion.
  • Have an understanding of French.

This is a permanent full-time contract for 5 working days (36.25 hours net) per week.

The monthly gross salary for this position is € 3,024.50 A2 (L) level (The British Diplomatic Missions in Belgium salaries are not subject to annual indexation).

Please note that Belgian nationals will be paid their salary gross and are expected to comply with their tax obligations through completion of a tax return to the Belgian authorities. Non-Belgian nationals will receive their salary net, minus the deduction of an equivalent level of Belgian tax retained at source. Further information on this will be given to candidates during the recruitment process.

The successful candidates will be subject to professional background checks and security clearance.

Staff recruited locally by the British Diplomatic Missions in Belgium are subject to Terms and Conditions of Service according to local Belgian employment law.
