Main purpose of job
The main purpose of this job will be to support the effective functioning of the Estates Section.
Roles and responsibilities:
The below roles and responsibilities are general guidelines. They are not limited to the detail below and are subject to change from time to time with prior consultation.
- Line manager of (2) estates staff. Task include full responsibility for performance management and leading on tasking and resourcing the accommodation team. (E.g. uniforms, training, daily checks, leave planning, etc.)
- Ensure that an accurate, up to date and complete Inventory list is maintained of all British High Commission properties at all times. These duties include updating the property files with standardised float/inventory pictures and lists, ensuring that inventory lists are signed and filed as well as updating the Pyramid system with changes.
- General Estates administration duties. Duties include updating new arrivals and in-year moves on Pyramid, maintaining a fixed asset register for all properties, reconciling Government Procurement Cards in accordance to the required deadlines, update and maintaining property files, regulating and documenting custormar feedback, etc.
- In absence of the Accommodation Officer you may be required to perform the march in of new arrivals and march outs departures and/or in-year moves. These duties include march in procedures, checking/signing of inventories, preparing documents for the Estates Manager, contracting suppliers to ready the property, visual inspections, ensuring that all inventories are checked 2 weeks before staff departs and that any damaged goods or discrepancies are reported to the Estates Manager, etc.
- Generator inspections. Duties will include maintaining the fixed asset registers, reporting, fuel and other checks.
- Assist the Compliance Officer in ensuring that the Health and Safety requirements for residential properties are in order as per FCO Guidance.
- Providing cover for the Maintenance Officer during annual leave periods.
- Procurement for the maintenance department. Duties will include building and maintaining a relationship with contractors, procurement procedures (e.g. raising purchase orders and ensuring payment of invoices), sourcing quotations, etc.
- Computer Literate (Excel and Outlook a must)
- Valid Driving Licence
Administration experience
- Work experience in property management
The British High Commission pays in full for the Key Care Plus option on Discovery Health for staff including spouses/partners and dependants.
Once you have successfully completed your probation the British High Commission will contribute 9 % of your monthly salary to a Provident Fund.
Annual leave entitlement of 25 days
Working hours per week of 36.5
