Corporate Services Support

Main purpose of job:

 Supported by the Corporate Services Team in Canberra, this role is responsible for:

  1. Acting as the first point of contact to resolve or escalate a range of corporate service needs (estates, IT, transport, security) at the British Consulate General in Sydney, and,
  2. Contributing to the smooth and efficient running of corporate services across the British High Commission Australia Network, including procuring goods and services, monitoring and managing budgets, and acting as Secretariat for Committees. 

The job holder will need to work closely with internal and external stakeholders including Facilities Management staff, to deliver high-quality services to a range of stakeholders including the Consul General and senior visitors to post. The job holder requires strong (written and verbal) communication and prioritisation skills, an eye for detail, and an ability to follow procedures.  

Roles and responsibilities / what will the jobholder be expected to achieve:

Key roles and responsibilities include:

  1. Estates & Facilities Management liaison: Proactive management of the office environment, ensuring safety of staff and visitors.  Ensure FCDO Health & Safety policy, procedures, and systems are understood & implemented. Liaise with building management and facilities management provider to ensure routine maintenance is communicated, reactive issues identified and resolved promptly, and emergency plans and training kept up to date. 
  2. Security and IT: Support a well-managed security environment, ensuring physical, personnel, and information security procedures are understood and followed. Maintain up-to-date asset registers. Provide IT support under the guidance of the (remote) lead IT Support Officer, including upgrades as required. Promote compliant security culture under the direction of security advisers. 
  3. Signposting and logistical support: Provide information, advice, and signposting to staff on a range of corporate policies and procedures such as HR, finance, protocol, and logistics, including for VIP visits. Provide flexible ad hoc support as directed to support resilience (eg acting as back-up, or an additional, driver when required).
  4. Resource management:  Ensure local procurement complies with policy and delivers value for money. Support accurate budget forecasting and monitoring, and prompt reconciliation of expenses. Support network-wide resource management by requisitioning and reconciling goods and services, pursuing reimbursements where appropriate. 
  5. Governance and Network support: Deputise for members of the Australia network corporate services team as required. Provide secretariat support for corporate services led committees and provide admin support for shared team mailboxes and task trackers.
  • Excellent oral and written communication skills, and the confidence to interact professionally with a range of senior stakeholders, both within and outside the Australia network. 
  • Knowledge and understanding of Windows and Microsoft Office programmes, including Office 365, MS Teams, Excel.
  • Current clean driving licence
  • Ability to prioritise effectively in the midst of competing demands, and to follow procedures and processes with limited supervision.

  • Experience in office administration, including budgeting 
  • Customer service / service delivery skills
  • Qualifications in IT or previous work equivalence providing IT support

Working Patterns:

Monday – Friday 0900 – 1700 at BCG Sydney. BCG is able to support some flexible working options where this is compatible with operational demands. Any flexible working arrangement should be discussed and agreed with the hiring manager.

The overall package includes the standard 14 days of public holidays that the UK in Australia Network works to as well as 22 days annual leave.

Given the responsibilities for office management, the applicant will be expected to work mostly from the BCG Sydney office during normal business hours. Some flexible working options can be considered, but this position would not be suitable for remote working.
