Main purpose of the job:

To provide support to the Defence Section ensuring the successful delivery of the UK/India Bi-Lateral Military Engagement programme. This will involve liaising with numerous agencies both international and in-country.

Responsible for the day to day running of the Defence Section Imprest Account, ensuring cash and bank transactions are correctly recorded, reconcile and balance accounts monthly, complete and collate all vouchers, invoices, bank statements, un-presented cheques and cash. Prepare and submit monthly budget reports to MOD HQ in the UK.   Calculate and pay salaries for five country based staff. Assume responsibility for the security of and access to cash, cheque books, vouchers and keys, highlighting and reporting any anomalies in accordance with MOD regulations (JSP 462 AND 752).

Work closely with the Office Manager on budget management, analyse spends, ensure budget spend is compliant with MOD guidance and procedures in order to achieve value for money.

Assist with the inward and outward preparation, administration and briefing of the National Defence College and Defence Services Staff College students and their families and other visitors as required, acting as point of contact during their tour.

Provide support to Defence Section staff with inward and outward visits, travel arrangements and all payments related matters.

General assistance to Defence section with administration and finance support required in the course of normal Defence Engagement duties.

Roles and responsibilities:

FINANCIAL RESPONSIBILITY

  • Calculations of salary/overtime payments for the Defence section LE staff.
  • Process monthly returns by collating vouchers, invoices, bank statement, un-presented cheques, cash and cheque balance.
  • Maintain Imprest cash book.
  • Support to all Defence finance matters as required.
  • Assist Defence Section personnel in management of all expense administration.
  • Other duties as required.

EVENT HANDLING

  • Assist with Defence Section visit programmes. 
  • Liaise and co-ordinate admin for Defence Section visits/visitors to India.
  • Production and despatch of invitation cards as required.
  • Other duties as required.
  • Assistance in managing guest lists/contacts

ADMINISTRATIVE

  • Routine correspondence and general administration.
  • Update and maintain filing system.
  • Collection, distribution and despatch of unclassified mail.
  • Other duties as required.

MISCELLANEOUS

  • Other duties as assigned by the Office Manager.

    The Defence Section exists to support both MOD and the High Commissioner’s objectives. It is a busy office with a mature, collaborative and collegiate approach. Flexibility is essential to the success in this fast paced and exciting section.

    Security restrictions:

    Owing to security clearance requirements, only UK nationals are eligible to apply. 

    British citizens must have been resident in the UK for at least two of the previous 10 years.

    Employment will be offered only after appropriate level of UK standard security clearance is received, an interview for which will take place in New Delhi.  You will therefore need to be present in India to begin this process. The onus to apply for a work permit is with the applicant, you can re-claim one time visa cost after visa is issued, and after you start work.

    Essential on arrival:

    -     2-3 years of administrative experience.

    -     Strong written and oral communication skills with ability to absorb information quickly and efficiently.

    -    Proficient in the use of MS Word, MS Excel, MS Outlook and resourcefulness to efficiently search the web.
