Main purpose of job:

This is an exciting role for an enthusiastic, proactive and flexible Events and Communications Officer (Hong Kong) to join the Department for International Trade (DIT) Marketing and Communications team, China and Hong Kong. You will be part of a team that ensures the excellent design and execution of high-profile events and missions that are often at the centre of Ministers’ interests and aim to advance the trade and investment ambitions articulated in the DIT Regional Trade Plan for the China and Hong Kong region, which are:

Objective 1 - Driving and inspiring UK exports to China and Hong Kong, significantly increasing the UK market share of the region’s goods imports, and more than double the value of UK services exports.

Objective 2 Consistent trade policy engagement with China and Hong Kong to achieve incremental market access, mitigate business risk and prepare for future trade deals

Objective 3 - Broadening and deepening the UK-China/Hong Kong investment partnership, positioning the UK as the top European destination for investment and providing strong support for UK investors.

DIT promotes British trade across the world and ensures the UK takes advantage of the huge opportunities open to us, securing and improving the economic well-being and stability of the UK, and helping to create tens of thousands of jobs every year.

Led by Her Majesty’s Trade Commissioner for China and Hong Kong we are one of nine global regions and part of an overseas network that operates in 108 countries. The largest DIT overseas network in the world, with 200 staff across six posts - the British Embassy in Beijing, plus Consulates in Hong Kong, Shanghai, Guangzhou, Chongqing and Wuhan – DIT, as part of the One HMG network in China and Hong Kong, offers a fast-paced place to work at the heart of UK: China Government relations.

We are seeking an Events and Communications Officer (Hong Kong) who will bring to life the DIT spirit by being ‘Expert, Engaging, Enterprising and Inclusive’ and who will have real interest and experience in events management and communications support. Equally important will be the ability to build and develop professional and respectful internal and external relationships with colleagues, business leaders and suppliers alike. Positively portraying the ambitions of DIT and ‘One Her Majesty’s Government’ to external audiences at events and missions will be key, as is interest in working in a fast-paced government environment. 

Roles and responsibilities

Events and Marketing Support: 

  • Provide administrative support to the Head of Marketing and Communications-China/HK including preparing decks, taking notes, sending out communications and following up on actions.
  • Support the Marketing and Communications Team in the organisation and delivery of events in Hong Kong, keeping overall events programmes up to date and well organised.
  • Draft clear and concise production briefs and work closely with the brand team to design materials for events.
  • Contribute to the project planning of major events and campaigns and monitor the working timeline with the project team.
  • Coordinate communications (including PR) for visiting UK officials and ministerial officers.
  • Manage logistics with suppliers, guests and sponsors at events.
  • Coordinate event guest lists and manage invitations and RSVP.
  • Research on audience and media insights to support DIT Hong Kong’s campaigns.

 Media, Digital and Content Marketing:

  • Monitor digital channels, amplify, share and like content and support on evaluation, including preparing media and digital reports.
  • Contribute to content creation and planning for social media and PR campaigns
  • Provide support to Events and Communications Manager, helping them to keep CRM databases, content plans, social media plans and schedules up to date.

Communications and Engagement: 

  • Build close relationships within DIT and across One HMG partners and publicise DIT Hong Kong’s campaigns via internal communications channels.
  • Maintain the database of contacts relevant to the event or mission, including guest lists.

Contract and Financial Accountability:

  • Manage financial processes (data collection, inputting, contracts, raising requisitions and filing and PRISM input) across the spectrum of events and missions commissioned and delivered across the One HMG network.

Corporate Contribution:

  • Play an active role in embedding the ‘DIT Spirit’ by identifying and progressing opportunities to promote the department’s values of being Expert, Engaged, Enterprising and Inclusive.

Learning and development opportunities (and any specific training courses to be completed):
Foreign, Commonwealth & Development Office (FCDO) Diplomatic Academy courses and workshops will be available, as well as more tailored on the job training, job shadowing and briefing to help the job holder quickly develop knowledge of the essential policy issues.

  • Experience in event management and/or marketing communications
  • High standard of written and spoken English-equivalent to a native speaker
  • Strong numeracy and IT skills (particularly Word, Excel, Powerpoint)
  • Fluency in Cantonese and/or Mandarin, both spoken and written
